About The Position

French & Parrello Associates (FPA) is seeking a Technical Coordinator to join our Civil/Site Department in Hackettstown, NJ. The Technical Coordinator will provide administrative and project coordination support to Project Managers and engineering staff working on a variety of civil/site projects. This position will play an important role in keeping projects organized, tracking project information, coordinating deliverables, and supporting communication among internal teams and external project stakeholders. The successful candidate will work closely with Project Managers, engineers, clients, municipalities, regulatory agencies, and other project stakeholders to help ensure project information is accurate, organized, and communicated effectively throughout the project lifecycle. FPA’s Civil/Site Department provides comprehensive design and permitting services for land development and infrastructure projects. The Technical Coordinator will support the department by helping Project Managers and engineering staff manage the administrative and organizational aspects of their projects. This position is ideal for an organized, detail-oriented professional who enjoys coordinating multiple tasks, communicating with a variety of people, maintaining project documentation, and helping project teams stay on track.

Requirements

  • Bachelor's Degree or Associate’s Degree preferred.
  • 1–5 years of experience in project coordination, administrative support, construction, engineering, architecture, real estate development, or a related field preferred.
  • Strong organizational and time-management skills with the ability to manage multiple assignments and deadlines simultaneously.
  • Excellent written and verbal communication skills.
  • Strong attention to detail and commitment to maintaining accurate and organized project information.
  • Ability to effectively communicate and coordinate with individuals at various levels within an organization.
  • Ability to work independently while also collaborating effectively with a multidisciplinary project team.
  • Proficiency with Microsoft Office, including Outlook, Word, and Excel.

Nice To Haves

  • Experience with project management software, document management systems, or other project tracking tools is a plus.
  • Familiarity with engineering, construction, land development, or permitting processes is preferred but not required.
  • Familiarity with New Jersey municipal and regulatory processes is a plus.

Responsibilities

  • Provide administrative and project coordination support to Project Managers and engineering staff.
  • Assist with tracking project schedules, deadlines, deliverables, and outstanding items.
  • Coordinate project information and follow up with team members to help ensure tasks are completed on schedule.
  • Prepare, organize, and maintain project correspondence, reports, meeting notes, submissions, and other project documentation.
  • Assist with the preparation and coordination of client, municipal, and regulatory agency submissions.
  • Track project review comments, approvals, permits, and other project-related requirements.
  • Coordinate communication between Project Managers, engineering staff, clients, municipalities, regulatory agencies, utility companies, contractors, and other project stakeholders.
  • Schedule project meetings, prepare meeting agendas and materials, and document meeting notes and action items as needed.
  • Assist Project Managers with maintaining project files, folders, documentation, and other project records.
  • Help coordinate information between Civil/Site staff and other FPA disciplines, including transportation, structural, environmental, surveying, and construction engineering.
  • Assist with preparing project presentations, spreadsheets, status updates, and other materials for internal and external meetings.
  • Monitor project correspondence and assist with follow-up items to ensure timely responses.
  • Assist with tracking project deliverables and coordinating document submissions.
  • Review project documentation for completeness, organization, and consistency.
  • Assist with administrative aspects of permitting and agency coordination.
  • Maintain organized electronic and physical project files in accordance with FPA procedures.
  • Assist Project Managers with other project-related administrative and coordination activities as needed.
  • Perform other related duties as assigned.
