About The Position

Provides secretarial support to the department and technical support to outside departments by performing a variety of moderately difficult to complex duties. This role is crucial for managing technical support requests, handling network and phone system administration, and overseeing the department's purchasing and budgeting processes.

Requirements

  • High school diploma or general education degree (GED).
  • At least four years of related experience and/or training, or an equivalent combination of education and experience.
  • Intermediate experience with Microsoft Office Suite, including word processing, spreadsheets, and database applications.
  • Experience with taking minutes, transcription, purchasing, and report generation.
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of the organization.
  • Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
  • Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
  • Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists.
  • Ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
  • Must have and maintain a valid and unrestricted driver’s license and proof of automobile insurance.
  • Must maintain confidentiality at all times.
  • Must demonstrate an ability to work with individuals at all levels of the organization.

Responsibilities

  • Serve as the first point of contact for Tech Support calls, emails, and walk-ins.
  • Manage Tech Support Requests through an Electronic Ticket System and assign them to tech staff based on workload and availability.
  • Reset passwords on Windows Active Directory Tribal network and Cisco Phones.
  • Assign phone numbers, voicemail, telephones, fax machines, dialing plans, and paging groups.
  • Manage the E911 service plan with the 911 service for all departments managed by Technologies for emergency response.
  • Manage the Auto-Attendant and Holiday schedule for the Tribal Phone System, working directly with the Administrative Manager and Department Directors.
  • Work with vendor senior account representatives to order telephone service, copper and fiber data lines, and handle account reconciliation/disputes.
  • Manage the department's technical equipment purchasing process, including obtaining price quotes, assigning accounting codes, submitting purchase requisitions, and tracking orders.
  • Maintain the Departmental Budget, make recommendations for the budget cycle, forecast spending, and provide recommendations and feedback for budget modifications.
  • Provide department directors with order status and verification of technical asset requests.
  • Order departmental supplies.
  • Answer and route all incoming calls for the department, or take messages.
  • Collect and log incoming correspondence, such as mail, email, or facsimiles, and distribute appropriately.
  • Receive documents into work processes by classifying each document with a unique identification number.
  • Perform other duties as assigned.
