Requirements

  • A degree or diploma in business administration, accounting, finance or related field, or equivalent work experience.
  • Post-secondary education in business, finance, or any related discipline.
  • 2+ years’ financial services industry experience working in a high growth environment.
  • 2+ years’ experience in a customer/client-service facing role.
  • 5-8 years’ financial services industry experience working in a high growth environment.
  • 3+ years’ experience in a customer/client-service facing role.
  • 3+ years in a team leadership/management facing role
  • Proficiency with the MSOffice suite, including Word, Excel, Powerpoint, Teams, and Outlook.
  • Demonstrates accountability, reliability, professionalism, and sound judgment, with a strong commitment to ethical conduct, confidentiality, and client service excellence.
  • Proven ability to lead, coach, and motivate teams while fostering a collaborative, inclusive, and high-performing work environment.
  • Strong communication, interpersonal, and influencing skills, with the ability to build effective relationships and collaborate across multiple channels.
  • Highly organized with strong analytical and problem-solving capabilities, enabling effective prioritization, decision-making, and management of competing priorities.
  • Adaptable and resilient in a fast-paced environment, with a willingness to embrace change, leverage new technologies, and drive continuous improvement.

Responsibilities

  • Provide leadership, coaching, and ongoing support to Associates by setting clear expectations, managing performance, and fostering a collaborative, high-performing team environment.
  • Oversee daily operations and team projects, ensuring work is completed accurately, efficiently, and within established service standards.
  • Monitor team workloads, productivity, and KPIs, ensuring alignment with business objectives and identifying opportunities for improvement.
  • Conduct quality reviews and audits of administrative work, client files, and client profiles to ensure accuracy and consistency.
  • Support the implementation of strategic people initiatives and operational improvements as directed by the Lead Advisors.
  • Oversee the maintenance of client files and documentation, ensuring compliance with firm policies, regulatory requirements, and industry standards.
  • Stay current on industry, regulatory, and firm policy changes and communicate relevant updates to the team.
  • Support and monitor adherence to CIRO requirements, securities legislation, KYC standards, and internal compliance procedures.
  • Conduct research and gather industry, market, and operational information to support Advisors and business initiatives.
  • Act as a key operational resource to the advisory team, ensuring effective execution of client service and administrative processes.
  • Support business development efforts through oversight of service standards, process enhancements, and operational efficiencies.
  • Lead or participate in special projects, strategic initiatives, and business improvement activities as assigned by the Lead Advisors.
  • Identify opportunities to enhance team effectiveness, client experience, and overall business performance.
  • Act as a general administrative and operational resource for Associates and Advisors (ex: printing statements, tax slips)
  • Complete a variety of administrative tasks related to account management such as preparing DocuSign information.
  • Prepare daily reports for the Investment Associates and Investment Advisors
  • Provide information, where requested and approved by an Associate or Advisor, on the status of a client’s account and provide account balances, quotes and other marketing information.
  • Maintain client files, ensuring that all documentation and notes are compliant with industry regulations.
  • Perform general administrative tasks (ex: prepare letters, client communication pieces, etc.)
  • Proactively stay informed and up to date regarding Company policies and procedures and compliance updates.
