About The Position

The Team Lead, AV Projects provides leadership in the planning and delivery of AV projects that support the Faculty of Medicine’s (FoM) provincially distributed education programs. The incumbent is accountable for coordinating and overseeing FoM AV projects, such as the delivery of AV room refreshes, renewals, installations, and technology upgrades across dispersed university, health authority, hospital, and distributed learning sites. The Team Lead, AV Projects is responsible for establishing project requirements, coordinating internal and external resources, directing vendor activities, supporting procurement and technical specification development, monitoring project budgets and timelines, mitigating project risks, and ensuring completed systems are transitioned effectively to AV Operations. Decisions and recommendations made by the incumbent influence procurement strategies, resource allocation, project delivery models, service reliability, and the long-term sustainability of FoM’s AV technology environment. The Team Lead will lead various, often concurrent, projects and participate as a member of a project, committee, or workgroup. The position will manage and mentor staff in the day-to-day performance of work, participate in the development of resource plans, and provide technical leadership within AV-related product and service lines.

This position sits within the Faculty of Medicine Digital Solutions department, in the Collaboration team that provides synchronous (real time) and asynchronous technology solutions to enable the Faculty of Medicine to meet its mandate, particularly the provincially distributed medical education program. The Faculty of Medicine is provincial in its education and service mandates and is national and international in stature in its research programs. As such, Faculty, staff, researchers and students require the ability to meet in a live, synchronous manner using voice and video, and require the ability to share content. The role works closely with other Digital Solutions units in delivering AV/IT services and liaises between external business units, consultants, and partners that assist in delivering AV/IT services across the province of British Columbia. This role reports to the Associate Director, Research & Core Technology on daily project and operational tasks.

Requirements

• Undergraduate degree in a relevant discipline.
• In-depth knowledge of applications and the business requirements supporting them.
• Minimum of five years of related experience, or the equivalent combination of education and experience.

Nice To Haves

• University degree in Computer Science preferred.
• Formal training in audio-visual service management and support (i.e. industry training, seminars, associated credentials, such as Cisco Certification; Crestron Certification) preferred.
• Formal training in Project management and Business Analysis and a strong understanding of the project life cycle preferred.
• Experience and in-depth knowledge of applications and the business requirements supporting them is preferred.
• Managerial experience preferred.

Responsibilities

• Leads the planning and delivery of FoM’s audiovisual (AV) and technology capital refresh and renewal portfolio of approximately $3M annually, including AV room refreshes, renewals, installations, and technology upgrades across approximately 250 videoconferencing-enabled rooms and distributed learning spaces across the province.
• Determines technical requirements and implementation approaches for AV project work, considering teaching requirements, room constraints, infrastructure dependencies, health authority site requirements, lifecycle status, service standards, and long-term service reliability.
• Builds and sustains strong partnerships with academic and health authority partners to ensure local and program educational needs and priorities are integrated into planning and successfully delivered.
• Works closely with UBC IT, UBC AV, external vendors, and internal teams to ensure project requirements, timelines, and quality standards are met, while developing the necessary skillsets, training programs, processes, toolsets, and best practices to support consistent and high-quality delivery.
• Develops technical specifications, reviews vendor proposals, assesses solution fit, and makes recommendations on equipment, vendor selection, project approach based on technical risk, cost, timelines, service impact, and institutional standards.
• Provides regular reporting on projects in flight, monitoring progress against milestones, schedules, and budgets, and ensuring all project close‑out procedures—financial reconciliation, documentation, and handover to operations—are completed in accordance with FoM standards.
• Maintains a high‑level operational overview of concurrent initiatives, proactively identifying and addressing risks, dependencies, and emerging issues, and escalating to senior leadership when appropriate.
• Makes recommendations to senior leadership on insourcing versus outsourcing project work, leveraging operational data, resource availability, and strategic considerations to support decision-making.
• Coordinates large-volume procurement of audiovisual and technology equipment required for projects, including development of specifications, preparation of bid documentation, evaluation of vendor proposals, and collaboration with partners and procurement teams to ensure compliance with institutional purchasing policies and alignment with organizational priorities and best value outcomes.
• Ensures completed projects are transitioned to AV Operations through documentation, training, asset information, support procedures, warranty/service information, and operational readiness review.
• Manages staff in the day-to-day performance of work, provides leadership and mentoring, and uses a wide range of tools and techniques to create and maintain a collaborative, motivated and positive team atmosphere.
• Participates in the development of resource plans to meet staffing, space, and equipment requirements.
• Coordinates and distributes work, monitors workloads and backlogs and makes necessary adjustments.
• Participates in the recruitment of new staff within respective team.
• Works with staff, project teams and other service providers to manage and coordinate work efforts.
• Ensures all resources understand and follow appropriate methods, procedures, and techniques to successfully complete assigned tasks within committed timeframes and standards.
• Provides input into staff performance assessments, learning and development requirements, and recognition and reward recommendations.
• Provides career planning advice to staff and creates development plans to help staff achieve their career goals, including assigning work which leverages their skills and capabilities and provides them with opportunities for learning.
• Develops and implements procedures, methods, standards and controls to foster operational efficiency, monitor compliance, and mitigate risks to achieve team results.
• Performs the more complex elements of the work, applying an advanced level of technical expertise and judgement to achieve desired work outcomes.
• Leads or participates in the selection and negotiation of vendor contracts.
• May serve as a Project Manager on projects and would be responsible for the overall management and success of the project.
• Responsible for product expertise which would include development of new systems, acquisition of new software or hardware packages, changes and enhancements.
• Maintains appropriate professional designations and up-to-date knowledge of current information technology techniques and tools.
• Performs other related duties as required.
