About The Position

This is a grant funded position that will end when the grant project ends in 2028. The TBCP Grant Project Bookkeeper-Library is responsible for performing a variety of highly specialized grant administrative office support work, specifically assisting with the implementation of the Tribal Broadband Connectivity Project. The role involves planning and organizing grant project goals, objectives, and deliverables to meet designated timelines. The bookkeeper will develop and maintain record-keeping systems, prepare and maintain financial documents, adhere to confidentiality policies, and demonstrate self-motivation and attention to detail. This position demands a high degree of organizational and interpersonal skills, and the ability to communicate effectively with staff and the Library Administrator.

Requirements

  • High school diploma or GED equivalent required.
  • Two (2) Years of experience as a bookkeeper or other qualifying experience based on previous positions of employment.
  • Must present a highly professional image and outstanding customer service to internal and external clients.
  • Required to pass a pre-employment drug test.
  • Required to pass a pre-employment background check.
  • Must possess a valid Washington State Driver's License with the ability to obtain a Tribal Driver Permit with Defensive Driving Course certificate (to be updated every 2 years).
  • Knowledge of computer use in Adobe, Microsoft Office products including Word, Excel, PowerPoint, and Access.
  • Knowledge and understanding of YN D365 Financial Accounting System.
  • Ability to complete tasks with minimum supervision and sound judgement.
  • Ability to demonstrate a high degree of personal integrity, professionalism and maintain strict confidentiality.
  • Ability to establish and maintain effective working relationships with other department staff, supervisors, managers, and elected officials.
  • Ability to remain flexible to changes in assignments or situations, priorities and handle frequent interruptions.
  • Ability to understand and apply available guidelines to varied operational requirements and to follow clearly stated oral and written instruction.
  • Ability to perform typing work at an acceptable level of proficiency, as required by the position.
  • Ability to demonstrate professional telephone etiquette skills and communicate effectively both orally and written.
  • Ability to multi-task and pay attention to detail.
  • Ability to maintain punctuality and attendance.
  • Ability to work under stressful conditions and demonstrate good morals and habits.

Responsibilities

  • Process and record grant-related vendor invoices.
  • Verify invoices accurately.
  • Schedule and pay bills on time to maintain good vendor relationships.
  • Ensure compliance with grant funding rules and reporting requirements.
  • Order supplies & equipment for grant project.
  • Prepare purchase orders, budget reports, documents, and data-driven reports.
  • Journal Entry Preparation, Budgeting, Accounts Payable.
  • Track inventory.
  • Prepare contracts following Yakama Nation policies and procedures.
  • Assist with the program calendar, arrange meetings, schedule meetings, prepare necessary materials, attend meetings as requested, taking meeting minutes and preparing them in final form.
  • Distribute information as required and/or keep Library Administrator informed of important items requiring immediate review and action.
  • Conduct research, collect data, and prepare briefs for consideration and presentation.
  • Develop and carry out efficient documentation and filing systems, and CUFF accounts.
  • Obtain signatures for routine documents.
  • Review and log incoming documents, obtain signatures after reviewing for accuracy and compliance with established protocol with policies and procedures.
  • Complete assigned duties to ensure work is accurate, neat, and in conformance with all policies and procedures.
  • May be assigned new duties and tasks not included on the job description to ensure grant priorities are met, organizational goals are achieved, and best practices are upheld.
