About The Position

The Tax Preparation Fulfillment IV role for Optima Tax Relief, LLC (Optima) is located in the Santa Ana, California office and reports to the Manager of Tax Preparation Fulfillment. As a key player on the Tax Preparation team, this role ensures proper processing of tax documents. With a focus on return filing, this role manages the inventory for completed, approved, and signed returns ready to be filed to the corresponding taxing authority (Revenue Office/IRS). This role is responsible with managing both an electronic queue and physical mail queue and reviewing any red flags prior to filing Federal or State Returns to their appropriate taxing authority to ensure receipt of acceptance. Return filing pipelines must be handled in a timely manner and with accuracy as this role works heavily with personal identifiable information. To be successful, this role must understand the mail vs electronic processes. This role must also champion Optimas culture and Core Values and help to deliver the best customer experience. In order to be provided the essential training required to be successful in this role, it is mandatory that you are present for and complete all essential/initial training onsite for up to 5 business days (unless prior management approval is provided). Please note that additional onsite training may be required depending on business need.

Requirements

  • High school diploma or equivalent education required.
  • 2+ years' relevant experience in an office environment or administrative support role.
  • Certified Tax Education Council ("CTEC") Certification required.
  • Proficient and comfortable with office equipment (Computer skills Microsoft Office, Outlook).
  • Meticulous attention to detail and high sense of accountability and confidentiality.

Responsibilities

  • With a high-level of customer service, communicate with clients through phone and email as needed.
  • Resolve direct inquiries from clients and/or other departments from Optima Tax Relief.
  • Review critical diagnostics or physical discrepancies with tax returns prior to filing to ensure returns are accepted.
  • File all electronic and/or physical returns (via mail) corresponding to each case.
  • Help with progression of cases to be delivered from the Tax Preparation Service indicating client is in compliance upon returns being accepted.
  • Prioritize case load and assignments in order received.
  • Collect and organize physical and electronic returns so they are available to internal departments/clients as needed.
  • Physical and electronic handling of documents / personal identifiable information.
  • Review and clear critical e-file diagnostics.
  • Contact client to discuss e-file rejection and necessary items/documents needed to clear for e-file submission.
  • Prepare courtesy state returns for outgoing mail.
  • Prepare physical outgoing mail for tax return submission to the IRS.
  • Other duties as assigned.
