About The Position

Provide administrator assistance to Ashurst Perkins Coie US LLP’s Investment Accounting and Tax teams by partnering with internal Finance team members and communicating with current and former attorneys. This role involves supporting financial aspects of internal investment entities, managing investor relations, coordinating capital calls and distributions, maintaining investor information, and handling various administrative tasks related to legal documents, tax filings, and communications.

  • Experience supporting investment accounting or tax functions preferred.

Responsibilities

  • Act as backup for the Investment Accounting system.
  • Maintain the CRM and investor portal interactions and responsible for uploading investor communications to investor portals.
  • Manage a high-volume shared mailbox, ensuring all inquiries are promptly addressed, items are routed to the appropriate team member, responses are accurate, and the mailbox remains organized.
  • Prepare, track, and coordinate investment capital calls and distributions and serve as support for all investment opportunities.
  • Maintain investor information and change requests in manual recordkeeping systems, CRM and investor portals.
  • Request and coordinate investor transfers of interest.
  • Prepare and coordinate verification of investor bank information.
  • Organize, gather, and input data for team calendars and trackers.
  • Gather signatures (wet or DocuSign) to execute legal documents or validate tax filings, organizing and filing all signed documents.
  • Research and communicate necessary information to current and former attorneys via e-mail and online reporting hubs.
  • Monitor physical mailboxes and manage all aspects of outgoing mail, including multi-jurisdictional tax filings and communications to partners.
  • Save investment accounting and tax documents received through mail, portals, or e-mails to the appropriate file path, keeping filed documents organized for quick retrieval.
  • Access portals with banks, outside accounting firms, and investments to upload or download necessary documents for the Investment Accounting and Tax teams.
  • Maintain the Investment Accounting and Tax teams’ Keeper login management system.
  • Code outside service provider billings, code checks received, and draft ACH or wire transfers for team member review.
  • Deposit checks received for the investment entities.
  • Develop and maintain a database of investment contacts.
  • Communicate with investment contacts to gather tax or financial information when necessary.
  • Enter data from tax documents to Excel.
  • Perform other duties, as assigned.
  • Be present at work during regularly scheduled working hours and as needed, consistent with the firm’s attendance expectations.
