About The Position

The Tax and Compliance Associate supports the company's fiduciary tax reporting, regulatory compliance, and trust administration functions by coordinating tax-related activities, assisting with compliance monitoring, maintaining accurate records, and promoting adherence to internal policies, fiduciary standards, and applicable laws and regulations.

  • Able to identify common attempts at information security scams, like email phishing.
  • Bachelor's degree in Accounting, Finance, Business Administration, or a related field, or an equivalent combination of education and relevant experience.
  • Professional appearance and business-casual attire are required.

Nice To Haves

  • Proficiency in Microsoft Excel is highly desired.
  • Financial services experience or basic knowledge of trust taxation is preferred.

Responsibilities

  • Assist with trust tax return preparation, filing, and compliance activities with external tax advisors and internal stakeholders.
  • Manage tax payment processes, including review, approval, reconciliation, and submission of federal and state tax payments.
  • Process and track tax payments, ensuring timely payments, proper documentation, and compliance with filing deadlines.
  • Research, analyze, and resolve tax-related inquiries, notices, discrepancies, and compliance issues.
  • Coordinate preparation of internal and external tax returns by organizing and providing information to necessary parties.
  • Administer tax refund reviews and reconciliations, validating accuracy and maintaining supporting records.
  • Conduct tax onboarding and due diligence for new trust accounts, including research, document collection, classification, and filing requirement assessments.
  • Manage tax documentation and workflow systems, ensuring accurate records, document uploads, and follow-up on outstanding information requests.
  • Serve as a liaison among tax preparers, trust officers, case managers, accounting teams, and other stakeholders to facilitate tax compliance and issue resolution.
  • Assist in monitoring compliance with internal policies, procedures, and applicable federal and state regulations.
  • Maintain compliance logs, tracking reports, and departmental records.
  • Assist with regulatory examinations, audits, and requests for information by gathering documentation and preparing reports.
  • Provide compliance administrative support to the Chief Fiduciary Officer, Directors of Personal Trust Services, and Fiduciary Tax Manager as needed.
  • Support strategic and ad hoc projects by performing research, data analysis, report preparation, and process improvement initiatives.
