About The Position

Choctaw Premier Services (CPS) is seeking a TAP Data Entry Assistant to provide administrative and customer service support to the Military & Family Readiness Center (M&FRC) and Transition Assistance Program (TAP) at Holloman Air Force Base. This is a highly visible, customer-facing position supporting Service Members and their families as they navigate important career and life transitions. The ideal candidate is organized, professional, dependable, comfortable working with technology, and committed to providing exceptional customer service.

Requirements

  • At least 1 year of experience in front desk reception and data entry.
  • Strong customer service and interpersonal skills.
  • Excellent written and verbal communication skills in English.
  • Proficiency with Microsoft 365 applications.
  • Ability to learn and effectively use databases, scheduling systems, websites, and other technology.
  • Strong attention to detail and the ability to accurately enter and maintain information.
  • Ability to maintain confidentiality and appropriately handle sensitive customer information.
  • Professional appearance and demeanor.
  • Ability to work independently while also collaborating effectively with M&FRC and TAP staff.
  • Ability to obtain and maintain the appropriate base access identification.

Nice To Haves

  • Experience using social media and technology to support marketing or communications is preferred.
  • At least two years of education in social sciences or two years of relevant experience demonstrating knowledge of social science topics is preferred.

Responsibilities

  • Serve as the primary reception support for the M&FRC/TAP, welcoming visitors and responding to inquiries in person, by phone, email, and Microsoft Teams.
  • Provide professional, courteous customer service and assess customer needs using active listening.
  • Schedule customer appointments and TAP classes using approved systems and procedures.
  • Provide referrals to M&FRC staff, contracted personnel, and outside agencies as appropriate.
  • Address routine customer concerns and elevate issues to M&FRC leadership when necessary.
  • Maintain sign-in procedures and protect customer privacy and confidentiality.
  • Maintain front desk resources, informational materials, phone directories, and office supplies.
  • Perform daily opening and closing procedures and maintain a clean, organized reception area.
  • Perform data entry and administrative support for the Transition Assistance Program.
  • Monitor completion of required TAP eForms, including DD Form 2648, through the DoD TAP database.
  • Enter and update information within required systems within established timelines following counseling appointments, TAP workshops, and Capstone appointments.
  • Record customer service interactions and TAP attendance in the AFFIRST database.
  • Send reminder communications to customers enrolled in TAP classes.
  • Respond to routine TAP inquiries and escalate questions to the appropriate TAP staff member.
  • Assist with TAP in-processing and out-processing activities.
  • Maintain and replenish TAP folders, training materials, curricula, and other program resources.
  • Track and maintain TAP-related supplies and inventory.
  • Track and monitor marketing requests and provide status updates to M&FRC staff.
  • Assist with social media communications, including posting approved content to Facebook and monitoring customer interactions.
  • Distribute digital and printed marketing materials through approved channels.
  • Assist with maintaining marketing materials and informational displays throughout the M&FRC.
  • Support scheduling and marketing platforms such as Tockify, TimeTap, and other approved websites.
  • Maintain the virtual TAP employment/job board and update job opportunities as needed.
  • Monitor the M&FRC computer lab/Discovery Resource Center (DRC) and ensure a safe, clean, and welcoming environment.
  • Assist customers with printing, copying, faxing, and basic computer troubleshooting.
  • Assist customers with creating MyAuth and VA.gov accounts and with basic password recovery.
  • Monitor computer lab usage and ensure customers follow established procedures.
  • Report equipment issues and unsafe conditions to M&FRC leadership.
  • Maintain DRC supplies, including paper, toner, cleaning supplies, and other materials.
  • Perform daily DRC opening and closing procedures, including preparing computers for use and clearing saved files and client certificates as required.
