About The Position

The Tank Administrator will be responsible for a variety of administrative tasks related to tank and service orders. This role involves billing, invoicing, creating work orders in SAP, updating Salesforce, and communicating ETAs to sales representatives and customers. The administrator will also manage a group email inbox, document driver and technician efficiencies, and provide information to and from drivers, supervisors, and customers. Key duties include addressing customer inquiries, problems, scheduling, and requests for service or equipment, as well as data entry and handling a high volume of phone calls. The position requires providing excellent customer service to customers, sales reps, and vendors, including answering questions about products, services, warranties, and pricing.

Requirements

  • Minimum one year of similar administrative experience in an office environment
  • Excellent telephone etiquette
  • Intermediate Microsoft Office proficiency with Outlook and Excel and Word
  • Good typing skills
  • Strong written and verbal communication skills
  • Must be adept in problem solving
  • Good math skills
  • Ability to multi-task
  • Strong attention to detail
  • Good organizational skills
  • Must have strong communication and interpersonal skills and be able to work well in a fast-paced team environment

Responsibilities

  • Bill and invoice tank and service orders
  • Create work orders in SAP
  • Update Sales Force on order status for tank and service orders
  • Assist sales reps and customers on service and tank order ETA’s
  • Manage a group email box
  • Document driver and technician efficiencies through Sales Force and Excel spreadsheets
  • Provide information to and from drivers, supervisors and customers
  • Communicate with customers and/or other personnel to address questions, problems, scheduling and requests for service or equipment
  • Assist drivers and keep coworkers informed of daily activities
  • Data entry and heavy volume of phone calls
  • Provide customer service to customers, sales reps, and vendors including answering questions about products and services, warranty items, pricing, tank rig outs, etc.
  • Other tasks and projects as assigned by manager
