About The Position

Guild is hiring for a Talent & Workplace Coordinator (6-Month Fixed-Term) to support and coordinate recruiting efforts across various business units while also serving as a key onsite resource for workplace experience. This is a shared resource between the Talent Acquisition team and the Workplace Experience team, reporting directly into the Talent Acquisition Operations Analyst with an indirect reporting line to the Director, Workplace Operations. This role requires working in-office five days per week. A parking and lunch stipend is provided. In this role, you will collaborate with recruiters and hiring managers to create an exceptional candidate experience, schedule interviews, maintain data integrity in the applicant tracking system (ATS), and play an integral role in helping achieve hiring goals. You will also serve as a day-to-day point of contact for onsite needs, acting as a backup for the Workplace Experience team by supporting office operations, responding to workplace tickets, assisting with catering deliveries, filling in at the reception desk, and helping ensure a seamless in-office experience for employees and visitors alike. Additionally, you will collaborate with other leaders across Guild, including those on the Product, Operations, Marketing, Commercial teams, and more.   • For the Workplace Experience portion of this role, it requires the ability to stand and move for extended periods of time with limited sitting, and to occasionally lift and/or move items up to 25+ pounds.

Responsibilities

  • Deliver an exceptional hiring experience to candidates, hiring managers, and business leaders.
  • Partner closely with all recruiters and provide operational support throughout the hiring process to include, but not limited to, creating, editing and posting job requisitions, updating and ensuring completion of kick off documents, scheduling interviews, minding the status of candidates, sending project assignments, and requesting references & scheduling reference calls (as needed).
  • Contact and engage with candidates, managing their experience throughout the interview process and scheduling phone, virtual, and onsite interviews; collaborate with executive assistants, as needed, to coordinate interviews/resolve scheduling conflicts all while facilitating effective, timely communication with candidates.
  • Serve as the onsite point of contact for candidates during in-person interviews, ensuring a welcoming and professional experience from arrival through departure.
  • Support logistics for onsite interview days, including coordinating room bookings, preparing interview materials, greeting candidates, and ensuring a smooth candidate experience on the ground.
  • Manage initial onboarding processes through sending pre-employment agreements and initiating background checks.
  • Maintain data integrity when opening and managing job requisitions in Greenhouse ATS to ensure hiring managers and interviewers have accurate information to prepare for and conduct interviews and feedback scorecards.
  • Act as scheduling point of contact, while recruiter(s) are out of office, and independently action scheduling requests to ensure candidates continue to move through the interview process.
  • Support the implementation of new process improvements and actively suggest process improvements to aid in driving efficiency and quality of candidate experience.
  • Attend kick off meetings and hiring syncs to communicate or work through scheduling priorities/conflicts with hiring managers as capacity allows.
  • Learn or expand knowledge of recruiting operations, systems, and tools.
  • Maintain flexible work hours to help troubleshoot interview issues, coordinate reschedules, and communicate interview schedule changes to candidates as needed.
  • Serve as a backup for the Workplace Experience team, stepping in to support daily office functions and ensure continuity of workplace services.
  • Respond to workplace tickets in a timely and professional manner, triaging and resolving issues or escalating as appropriate to ensure a well-functioning office environment.
  • Serve as a go-to resource for employee questions related to office logistics, workplace policies, and general operational inquiries.
  • Support catering deliveries, including coordinating with vendors, receiving orders, and ensuring timely setup for employees.
  • Fill in at the reception as needed, greeting visitors, managing building access, and providing a professional first impression of Guild’s office.
  • Support general operational needs around the office, including coordinating with vendors, managing supplies, assisting with space setup for meetings and events, and maintaining common areas.
  • Support special projects and/or other assignments as needed.
