The Talent & Onboarding Specialist provides critical administrative support to the Talent Acquisition team within Human Resources. This role ensures a smooth and compliant onboarding experience for new hires while assisting with candidate engagement and recruitment processes. The ideal candidate is highly organized, detail-oriented, and thrives in a fast-paced environment where confidentiality and accuracy are essential. This position offers growth potential within HR for individuals who demonstrate strong time management, follow-through, and a passion for supporting people.

Requirements

  • 2-4 years of experience in talent acquisition, recruitment, or HR support
  • Experience with onboarding processes and compliance requirements
  • Strong organizational and time management skills
  • Excellent verbal and written communication skills
  • Advanced proficiency in Microsoft Word, Excel, and PowerPoint
  • Ability to type 60 WPM
  • High attention to detail and ability to manage multiple priorities

Nice To Haves

  • Experience with HRIS systems and applicant tracking systems (iCIMS, ADP WFN preferred)
  • SHRM-CP, PHR, or similar certification

Responsibilities

  • Prepare and distribute new hire welcome packets and orientation materials.
  • Confirm new hire start dates and send onboarding tasks through HR systems (iCIMS and ADP WFN).
  • Schedule and complete I-9 verifications; maintain compliance by purging outdated records.
  • Track onboarding tasks and follow up with new hires to ensure timely completion.
  • Upload onboarding forms and maintain accurate employee records in HRIS systems.
  • Coordinate new hire orientation sessions and send recap communications.
  • Monitor and report on onboarding metrics (e.g., 1-week surveys, 60-day reviews, LevelUP program participation).
  • Assist with LMS administration and compliance tracking.
  • Support talent acquisition activities, including resume screening, candidate outreach, and referral tracking.
  • Maintain confidentiality of employee information and ensure compliance with HR policies.
