Talent Mobilization Program Coordinator

Constellation InstituteBerkeley, CA

About The Position

As Program Coordinator on the Mobilization team, you'll develop a deep understanding of how people enter and grow within the AI safety ecosystem, learn to identify talent gaps across the field (i.e. Which roles are organizations struggling to fill? Which strategic hires would massively scale an organization’s impact?), and help design and deliver the programs that support those pathways. You'll work closely with other Mobilization team members, as well as other Constellation teams, program participants, and partners across the ecosystem (e.g. BlueDot Impact, Redwood Research, etc). You'll start with a focused set of projects and responsibilities, and grow into greater autonomy as you demonstrate impact. This is a young team, and you’ll help shape how it evolves over time. This role is perfect for someone energized by the talent and career development space, genuinely curious about what makes career transitions succeed, and excited to build foundational program management skills while contributing directly to the AI safety talent pipeline.

Requirements

  • You are organized and detail-oriented; you close loops, track follow-ups, and don't let things fall through the cracks.
  • You communicate clearly and warmly with a wide range of people, from early-career operators to senior researchers.
  • You are eager to learn in a fast-moving, mission-driven environment and ask good questions when uncertain.
  • You think in systems but stay grounded in execution; you don't lose the thread on details.
  • You are energized by the prospect of building something from scratch in a field that's still taking shape.
  • You think AI might have transformative effects in the coming years and want to help build the infrastructure to navigate that well.

Nice To Haves

  • Background in program coordination, nonprofit operations, headhunting, or community management
  • Familiarity with tools like Airtable, Asana, or similar
  • Exposure to the AI safety, ML research, or EA communities

Responsibilities

  • Support existing programs through preparation and execution.
  • Contribute to the design of new programs and pilots, and work with the rest of the Mobilization team to identify talent gaps and turn early ideas into defined programs.
  • Gather structured feedback to understand what's working and where talent experiences friction in the AI safety ecosystem.
  • Design and iterate on workflows, communications, and key touchpoints based on what you learn.
  • Identify and help document findings, surface patterns, and make recommendations for experience improvements.
  • Build and maintain operational systems that keep mobilization efforts running including databases, workflows, and tracking tools (e.g., Airtable, Asana).
  • Support data entry, reporting, and process documentation with input from various stakeholders.
  • Identify processes that aren't working and have a clear path to raising and testing improvements.
