About The Position

This role is the front line of building the team at Formations, focusing on protecting the standard of hires. The Talent Acquisition Specialist will partner with hiring managers to define roles, source and screen candidates, conduct behavioral interviews, and guide hiring decisions. The emphasis is on the quality of hires rather than the speed of filling positions. The role requires a specialist approach, understanding the intricacies of each role to present suitable candidates. The candidate experience is paramount, ensuring clarity, responsiveness, and direct communication throughout the process.

Requirements

  • 2 to 3 years of experience in full cycle recruiting, recruiting coordination, or a related support role.
  • Strong organizational skills with the ability to manage multiple requisitions and candidates simultaneously without losing details.
  • Clear, professional communication with both candidates and internal stakeholders.
  • Familiarity with ATS platforms and comfort working in digital tools day-to-day.
  • A candidate-first mindset.
  • Ability to work at pace in a high-volume environment while maintaining accuracy and follow-through.

Nice To Haves

  • Experience recruiting for distribution, manufacturing, warehouse, or sales roles.
  • Familiarity with UKG or similar HRIS/ATS platforms.
  • Post-secondary education in Human Resources, Business, or a related field.

Responsibilities

  • Partner with hiring managers to understand the position, team, and desired candidate profile for new roles.
  • Draft and post job descriptions across appropriate channels.
  • Set clear timelines and communication expectations with hiring managers.
  • Build and maintain talent pipelines for high-volume and recurring positions in distribution, warehouse, and manufacturing.
  • Screen applications to identify candidates matching the defined success profile.
  • Conduct phone and virtual screens to assess fit, communicate the opportunity, and engage candidates.
  • Proactively source candidates through job boards, LinkedIn, and referrals.
  • Manage interview scheduling from intake to offer, coordinating with hiring managers and interview panels.
  • Prepare and share structured interview guides.
  • Support debrief facilitation after interviews to aid hiring teams in making decisions.
  • Complete reference checks and compile summaries for hiring decisions.
  • Prepare and send offer letters in coordination with hiring managers.
  • Support new hires from offer acceptance to Day 1, answering questions and ensuring a smooth onboarding.
  • Coordinate onboarding logistics with hiring managers.
  • Ensure new employees are set up in relevant systems, platforms, and access requirements before their start date.
  • Maintain accurate and complete employee files in UKG.
  • Support day-to-day HR admin requests, escalating to the HR Generalist as needed.
  • Track requisition status and candidate progress for weekly pipeline reporting.
  • Identify and flag delays, risks, or candidate experience issues.
  • Assist with onboarding handoffs to ensure a smooth transition from candidate to new hire.
