This role serves as a key contributor to candidate and new hire experience through interview coordination, relocation logistics, referral rewards administration, onboarding preparation and job posting support across niche platforms.

Requirements

  • Interest in talent acquisition, people operations and onboarding execution
  • Strong proficiency with MS Office (Excel, Word, Forms, Outlook, Teams) and other web-based tools
  • Exceptional organization and attention to detail
  • Ability to manage high-volume requests with urgency, discretion and accuracy
  • Customer-service focused with professional written and verbal communication
  • Ability to handle confidential information with integrity
  • Thrives in a fast-paced, team-oriented environment
  • Requires a background check upon offer
  • Requires a drug test upon offer

Nice To Haves

  • Bachelor’s degree in related field
  • Administrative experience in people operations, talent acquisition or onboarding functions
  • Familiarity with HelpScout and/or shared inbox responsibilities and escalation pathways
  • Prior support in interview scheduling or candidate coordination roles
  • Florida notary
  • Bilingual

Responsibilities

  • Provide overall administrative support for the talent acquisition and onboarding teams
  • Schedule and coordinate interviews across candidates, hiring managers and interview panels (including confirmations and candidate materials)
  • Coordinate candidate travel logistics, including flights, lodging and ground transportation as needed
  • Administer new hire relocation instructions and reimbursement tracking
  • Facilitate referral reward tracking and initiate payout processing with accuracy and compliance
  • Post open roles to niche and manually-updated job boards and external websites
  • Monitor and triage the team’s shared email inbox, responding with urgency, discretion and professionalism
  • Assist with career fair preparation and event logistics
  • Support efforts related to camp/seasonal hiring and the intern program, including coordination for events (logistics, communications support, etc)
  • Support Day 1 new hire orientation preparation (room setup, materials, tech, etc)
  • Uphold confidentiality and adhere to all company policies, ethics and compliance standards
