About The Position

The Onboarding Associate is responsible for leading and managing all onboarding activities to ensure compliance with organizational standards and legal requirements. This includes overseeing bg checks, I-9 processing, and reverifications. The role ensures a seamless onboarding experience for new hires by managing pre-day-one activities, maintaining engagement throughout the process, and serving as a key liaison between candidates, recruiters, and vendors. Additionally, the Onboarding Associate supports talent acquisition efforts through sourcing, pre-screening, and managing job postings, while also serving as the lead for temporary hiring and providing backup recruitment and administrative support.

Requirements

  • 2–3 years of relevant TA Coordination/Onboarding experience, preferably in Talent Acquisition for a large organization.
  • High volume onboarding experience - managing the process from offer to start.

Nice To Haves

  • Bachelor’s degree in Human Resources or related field (Preferred).
  • HR-related coursework or certification (Preferred).

Responsibilities

  • Lead and manage all onboarding activities, including bg checks (review and adjudicate reports) and I-9 processing (initiate, finalize, and reverifications).
  • Maintain onboarding and bg dashboards; ensure timely completion of all processes.
  • Resolve onboarding issues in a compliant manner; liaise with vendors and escalate issues to Director and Legal as needed.
  • Manage internal and external job postings; create and maintain requisitions in the applicant tracking system (ATS).
  • Post positions on internal/external portals and agency portals for temporary roles.
  • Actively participate in the selection process for exempt and non-exempt positions.
  • Perform research to identify candidates using advanced internet sourcing techniques.
  • Develop effective search strings based on job descriptions, present qualified resumes to recruiters.
  • Serve as system administrator for ATS; ensure recruiter access and accurate requisition data.
  • Update weekly position activity reports and maintain accurate source data for reporting.
  • Lead temporary hiring and onboarding/offboarding activities; coordinate with vendors to secure temporary workers.
  • Provide backup recruitment support, including searches and resume reviews.
  • Participate in process improvements, system testing, and implementation projects.
  • Coordinate and attend virtual career fairs; liaise with college career centers.
