About The Position

The Systems Optimization and Integration Specialist installs, maintains, and operates computer systems designed to efficiently communicate with students, and to electronically store information in an effort to reduce the use and storage of paper documents. The Systems and Optimization and Integration Specialist is also responsible for ensuring that the College file record management system is current, compliant and consistent with industry best practices along with other duties as assigned.

Requirements

  • Bachelor's degree Computer Science or related field; or four (4) years of professional consultative, technical or administrative experience providing advice and leadership in the planning, development, coordination and implementation of information systems.
  • Experience with document imaging systems
  • Experience with record management
  • Automating electronic and non-electronic communications (ie. Emails, and mail merge documents)
  • Experience should include writing database queries in a fully rational database (e.g. Sybase, MS SQL, Oracle) environment
  • Experience with Web Page design and web server maintenance
  • Ability to communicate technical concepts and ideas to individuals and large groups.
  • Ability to manage time, communicate clearly and concisely, document and maintain organization of work.
  • Ability to maintain a customer focus in providing technology services to the College’s community.
  • Possesses positive and professional outlook, personal integrity, problem solving ability and ability to handle stress.
  • Knowledge of College’s operations, needs and goals.
  • Extensive knowledge in the use of various Microsoft Office products
  • Working knowledge of SQL, and of Microsoft SQL server.
  • Ability to write SQL queries to perform mail merges.
  • Skills in current programming and data management standards.

Responsibilities

  • Installs, maintains and operates various communication systems of the College.
  • Installs, maintains and operates client and server components of various computer systems that are used as part of a record management, information archiving, and document imaging solution.
  • Ensures all installations are license compliant.
  • Assists staff and faculty in the creation of Jenzabar Action Items, Action Lists and mail merge documents.
  • Analyzes current processes and procedures and makes recommendations on ways to increase efficiencies.
  • Works with vendors to obtain software and to resolve operational problems.
  • Provides ongoing training and support of record management and document imaging systems to faculty and staff.
  • Facilitates and assists the user community in defining record management requirements in their area.
  • Provides training to new and existing staff in the use of document imaging software and hardware.
  • Assists staff and faculty with meeting record management requirements.
  • Provides timely and effective support for the user community and provides onsite training to staff when necessary.
  • Ensures College systems are current, compliant and consistent with industry best practices.
  • Proposes and assesses tools, technologies, policies; designs procedures and documentation standards considering issues such as resource utilization, acquisition planning, overall system performance, security and new technologies.
  • Plans, in consultation with the Director of Information Services and other department leaders, the long-term direction for record management, document imaging, and efficient student communications in an environment of expansion and change.
  • Participates in the development, testing and maintenance of disaster recovery plans.
  • Research new technologies and processes and makes recommendations to the Director of Information Services.
  • Sits on various college committees as may be assigned.
  • Other duties as assigned.
  • If assigned this position may require administrative work on grant-funded program activities and reporting.
