About The Position

The Surgical Services Admin Assist at Scotland Memorial Hospital plays a crucial role in ensuring the smooth daily operations of the department. Responsibilities

  • Maintain surgical services calendar, coordinate meetings, prepare spreadsheets, maintain files, process forms.
  • Act as a department resource in answering questions or directing concerns to the appropriate person.
  • Coordinate projects, analyses, committee meetings, agenda and minutes as directed by SS leadership.
  • Handle multiple concurrent tasks to support and manage daily operations of the office.
  • Ensure the Surgical Services department runs smoothly by having a comprehensive knowledge of the day to day office responsibilities as well as having a positive, enthusiastic, welcoming demeanor.
  • Assist SS leadership with payroll.
  • Input data into AMION for call staff.
  • Input and distribute four week staffing schedule for OR, Endo, PACU and CS.
  • Run various reports as directed by SS leadership (block utilization, interval note compliance, monthly volumes, AHA, case comparisons, FCOTS, turnover times, case hours, etc.).
  • Provide backup coverage for the surgery scheduler.
  • Collect data for quarterly corporate compliance audits.
  • Enter service requests as needed for IT, Biomed, and Engineering.
  • Collect daily orders and manage surgeon's and anesthesia lunch.
  • Input data for MEC scorecard, Ortho Co-management dashboard and SCEC dashboard.
  • Maintain user list for scrub machines.
  • Assists Senior Director with agreement checklists and contracts as needed.
  • Maintain tracking boards.
  • Maintain nutritional stock in Surgeon's lounge.
  • Communicate events, meetings, and in-services to staff as needed.
  • Order office supplies as needed.
  • Receives and screens the escorts and introduces visitors (students, vendors, etc.) to SS Leadership.
  • Updates calendar for Senior Director as needed scheduling and canceling appointments.
