About The Position

Thompson Health is seeking a Surgical Scheduler for Pain Management to play a vital role in ensuring patients receive comprehensive care through referrals, prior authorizations, appointments, and services. This position oversees the daily operations of managing the APU schedule for Pain Management providers, including scheduling cases within the EMR with appropriate coding, staff, equipment, and pre-op testing. The role involves following up with patient care teams for necessary clearances and medication instructions, verifying insurance, obtaining prior authorizations, and communicating with patients regarding procedure scheduling and preparation. The Surgical Scheduler also acts as a liaison between patients, surgeons, and APU staff, backs up Clinical Secretary staff as needed, ensures compliance with State and Federal regulatory requirements, and works closely with Provider Billing for compliance and reimbursement.

Requirements

  • High School Diploma or equivalent required.
  • 2 to 3 years of previous secretarial/clerical required.
  • Computer knowledge and skills including but not limited to Outlook and Microsoft Word required.
  • Demonstrates skills in communication and prioritizing assignments.
  • Makes every effort to satisfy the needs of every customer in a friendly, service-oriented manner.
  • Demonstrates the ability to develop and maintain a collaborative working relationship with all system departments, the medical staff and other health care professionals at Thompson Health and with all outside customers.
  • Has extensive knowledge of health care insurance and understands the complex insurance benefits of multiple carriers and how they apply to the specific patient.
  • Exhibits time management, keyboarding, and multi-tasking skills to assure business components of the practice are maintained at an efficient and effective level.

Nice To Haves

  • Associates Degree preferred.
  • ICD-10 and CPT coding experience preferred.
  • Experience in a medical office setting preferred.
  • 2 to 3 years of previous APU scheduling experience preferred.

Responsibilities

  • Plays a vital role in assuring whole patient care is made available to each patient through referrals, prior authorizations, appointments and services.
  • Oversees daily operations of managing APU schedule for Pain Management providers.
  • Schedules APU cases within the EMR to include the appropriate coding information, staff, equipment and pre-op testing needed.
  • Follows up with patient’s care team to obtain required clearances and medication instructions prior to surgery.
  • Verifies insurance and obtains prior authorizations that are needed prior to procedure.
  • Communicates with patients to schedule procedures and explain any prep/testing requirements necessary for procedure.
  • Acts as a liaison between patients, surgeons and APU staff to communicate any questions, concerns or add-on APU cases.
  • Backs up the Clinical Secretary staff as needed.
  • Proactively ensures all State and Federal regulatory requirements are met.
  • Works closely with Provider Billing to assure compliance and maximum reimbursement.
