About The Position

The Surgical Referral Scheduler is responsible for coordinating and scheduling surgeries with patients, posting surgeries at designated hospitals, and arranging preoperative and post-operative office appointments. This role involves compiling patient surgery charts, completing preliminary paperwork for physician review, and obtaining pre-certification/insurance checks. The scheduler will also copy and send surgical paperwork (labs, H&P forms) to hospitals, schedule pre-operative tests and clearances, and coordinate with instrumentation companies for special equipment. A key duty is preparing and distributing the weekly surgical posting sheet for billing. The position requires promoting teamwork, working effectively both independently and as a team member, and seeking assistance when needed. The scheduler must accurately identify and report changes in patient condition to nursing staff and collaborate with physicians and office staff to meet specialized patient needs. Maintaining knowledge of facility, DNV, State, and HIPAA compliance requirements is essential. General receptionist duties include answering phones, transferring calls, and scheduling procedures. The role involves proficient use of multiple computerized software systems for scheduling, order entry, and accessing patient information to facilitate transfers. The scheduler will identify and resolve issues related to labs, x-rays, and OR schedules, coordinate cases with multiple offices for pre-op tests, provide prep instructions for tests and surgeries, notify Patient Navigation for cancer cases, and set up physical therapy. This position involves approximately 90% face-to-face customer service with patients and requires supporting departmental productivity through flexible scheduling and shift changes. The scheduler is also responsible for obtaining appropriate authorization to ensure optimal reimbursement and providing clinical information to insurance carriers.

Requirements

  • High School Diploma or GED
  • 1 year recent surgical scheduling experience
  • Time management and organizational skills
  • Proficiency in Microsoft Office Suite
  • Good communication and interpersonal skills
  • Ability to multitask and prioritize deadline-driven workloads

Responsibilities

  • Schedule surgery with patients.
  • Post surgery at designated hospitals.
  • Schedule preoperative and post-operative office appointments for surgical patients as indicated.
  • Compile patient's surgery charts and appropriate paperwork.
  • Complete preliminary paperwork needed for each surgical patient and places in chart for physician to review.
  • Obtain pre-certification/insurance checks when necessary.
  • After pre-operative examination, copy each patient's surgical paperwork to include labs, H&P forms, etc., and send same to the appropriate hospital.
  • Schedule and coordinate with appropriate facility any needed pre-operative surgical tests or clearances for patients.
  • Coordinate with the appropriate instrumentation companies for any special equipment needed.
  • Prepare and distribute the weekly surgical posting sheet to the appropriate persons for billing.
  • Promote team work by working effectively as a team member as well as independently.
  • Seek assistance as needed.
  • Consistently and accurately identify and report changes in patient condition/behavior to a Registered Nurse or Licensed Practical Nurse.
  • Collaborate with physicians and physician office staff to provide for the specialized needs of patients.
  • Maintain a working knowledge of facility, DNV, State and HIPAA compliance requirements (National Patient Safety Goals).
  • Perform general receptionist duties for the department to include answering the posting telephone, transferring calls and scheduling surgical procedures.
  • Demonstrate the ability to perform scheduling and order entry utilizing the departmental/facility's assigned multiple computerized software system.
  • Direct Admits as necessary.
  • Demonstrate the ability to perform surgical scheduling utilizing the department/facility's assigned computerized software system.
  • Demonstrate the ability to identify and complete follow-up measures to resolve issues/concerns (lab, x-ray, OR schedule).
  • Coordinate cases with multiple offices for multiple pre-op tests.
  • Give prep instructions for tests and surgeries.
  • Notify Patient Navigation as necessary for cases of cancer.
  • Set up physical therapy when necessary.
  • Do line-ups for surgery with surgical facilities.
  • Demonstrate ability to navigate systems to access patient information to facilitate transfers.
  • Utilize systems proficiently to communicate and order supplies, forms etc.
  • Demonstrate understanding of the importance of the services provided by department and help to ensure timely delivery of services to staff, patients, and visitors.
  • Provide about 90% face-to-face customer service with patients.
  • Support personal departmental productivity through volunteering for and recommending creative changes to include flexing and shift changes to meet the needs of the department.
  • Obtain appropriate authorization thus ensuring optimal reimbursement for services rendered.
  • Able to give clinicals to insurance carriers.
