About The Position

Hospital for Special Surgery (HSS) is seeking a Surgical Coordinator to join their team in Florida. HSS is a top-ranked hospital for orthopedics and rheumatology, and a recipient of the Magnet Award for Nursing Excellence. This role is crucial in managing patient inquiries, scheduling appointments and surgeries, and ensuring all necessary documentation and authorizations are in place for patient care. The Surgical Coordinator will facilitate communication between physicians, hospital departments, and patients, working independently with minimal supervision in an innovative, supportive, and inclusive environment.

Requirements

  • Experience in triaging phone calls and patient inquiries.
  • Proficiency in scheduling appointments and surgeries.
  • Experience with EMR systems.
  • Ability to manage referrals and insurance authorizations.
  • Skill in preparing and managing patient charts.
  • Strong communication and interpersonal skills.
  • Ability to work independently with minimal supervision.

Responsibilities

  • Triages phone calls and patient inquiries professionally and efficiently.
  • Retrieves messages from voicemail and EMR system, returning them by the end of the business day.
  • Schedules appointments, including new visits, follow-ups, and post-operative appointments.
  • Confirms patient appointments via email and/or telephone.
  • Schedules surgeries and ancillary tests as directed by the physician or office manager.
  • Ensures all surgeries are authorized one month before the surgery date, with exceptions for urgent cases.
  • Ensures all required documentation and pre-testing (medical clearances, EKGs, cardiology work-up, pulmonary tests, etc.) are completed, obtained, and reviewed by clinical office staff prior to surgery.
  • Prepares patient charts for surgical cases with double identifiers.
  • Manages referrals and insurance authorizations for diagnostic procedures, obtaining authorization within 2 business days of the patient's visit unless urgent.
  • Creates, scans, and files patient charts and medical documentation.
  • Prepares patient charts in anticipation of office hours.
  • Scans medical records into individual patient accounts within the EMR system following guidelines.
  • Facilitates communication between physician and hospital departments, department management, and patients.
  • Works independently on assigned tasks with minimal supervision.
