About The Position

The Surgery Coordinator Supervisor is responsible for the daily oversight of all surgical scheduling functions. This includes supervising Surgical Coordinator staff, ensuring efficient processes, and maintaining superior patient satisfaction. The role involves providing direct onsite assistance, conducting weekly huddles and rounding, answering questions related to Surgical Scheduling and Surgical Authorization, and directly supporting providers in coordinating surgical schedules. The Supervisor will also schedule pertinent testing for patients preparing for surgery, submit requests for prior authorization for surgical procedures, and assist the coordinating team with the surgical process as needed. Additionally, the Supervisor will submit weekly staff progress reports to the Service line manager, ensure correspondence is sent to providers weekly, verify cases are scheduled within 1-3 business days, submit authorizations simultaneously with procedure scheduling, maintain accurate provider outlook calendars, update auth/cert fields during scheduling and after authorization is received, document patient correspondence and communication within the patient’s medical record, and provide appropriate packets and documents to patients. The role also includes other duties as assigned.

Requirements

  • High school diploma or (GED) general education degree
  • Minimum of five years related medical office experience
  • Accurate data entry skills
  • Current knowledge of payer requirements for referrals and preauthorization
  • Knowledge of IDX or similar computerized billing system
  • Knowledge of ICD-10 and CPT coding
  • General understanding of back office operations
  • Strong customer service skills
  • PC proficiency
  • Knowledge of medical terminology preferred

Responsibilities

  • Ensuring patient correspondence and communication is documented within the patient’s medical record.
  • Providing appropriate packets and documents to patients.
  • Maintaining effective collaboration between clinical and surgical departments, as well as other affiliated services and practices.
  • Provides ongoing training, mentoring and coaching to Surgery Schedulers.
  • Assisting in developing goals and work plans to increase productivity.
  • Advising the Surgical Service Line Manager of any deficiencies in work-flow and making recommendations.
  • Resolving daily operational issues for the surgical coordinator functions.
  • Assisting co-workers and Service line Manager with special projects.
  • Answering telephones and questions from patients, staff, surgery center or direct calls to appropriate staff.
  • Scheduling and/or confirming patient diagnostic appointments, surgeries or medical consultations.
  • Assuring block times are maintained for surgeons.
  • Demonstrating knowledge of managed care plans and knowing which procedures require preauthorization.
  • Effectively communicating with patients, their family, physicians, physician’s staff and fellow employees.
  • Developing guidelines for prioritizing work activities, evaluating effectiveness and modifying as necessary.
  • Establishing deadlines and targets for work assignments.
