About The Position

The Surgical Scheduling Supervisor is responsible for the coordination, supervision and scheduling of the surgery scheduling staff’s functions across multiple areas including but not limited to Surgical services. This position requires a detailed knowledge base in Surgery Scheduling and CareSyntax, as well as an understanding of how these areas impact the flow of work throughout the departments and organization. The Supervisor is responsible for assisting in developing and enforcing policies and procedures, monitoring the accuracy of surgery scheduling data entered by associates, ensuring that the proper patient experience protocols are followed, monitoring the staff’s interaction with patients and peers, and clearing issues related to surgery scheduling and authorizations along with managing the overall training and coordination of work within the department. Included in the supervision of these areas is preparation of staffing schedules along with recommendations and coordination of department-related improvements and changes that will enhance the patient experience while acting as the main liaison between physician schedulers/offices and LWRMC. The position requires the ability to independently plan, schedule, organize and respond appropriately on a wide variety of subjects and situations. The Scheduling supervisor will work with the surgery department supervisors and Director to ensure the department meets or exceeds the goals and KPI’s set by Senior Leadership. The ability to perform the duties as set forth is required as Patient Experience, and Provider/Surgeon Satisfaction are dependent upon the activities of the Scheduling departments timely completion of surgery schedules and follow-up is critical. Involvement in departmental and interdepartmental process improvement teams would also be expected of the individual. A substantial portion of the normal duties require proper judgment, sensitivity and strict adherence to UHS’s policy on confidentiality. Other duties as assigned.

Requirements

  • High school diploma or equivalent required.
  • Minimum of 2 years of scheduling experience required.
  • Previous Supervisory, Lead, or Management experience required.
  • Basic computer skills required.
  • Previous date entry experience required.
  • Ability to type 40 WRM with accuracy in spelling required.
  • Knowledge of surgery scheduling, CareSyntax, and authorizations.
  • Communication and interpersonal skills, and customer service skills required.
  • Able to communicate effectively and demonstrate service excellence through appropriate response and use of constructive problem-solving techniques when confronted with different people or situations.
  • Maintain a high awareness of patient satisfaction and teamwork.
  • Able to pay attention to detail and work in a stressful environment.
