About The Position

Join our Ambulatory Surgery Center team as a Surgery Scheduler and play a vital role in creating a seamless surgical experience for patients, families, physicians, and care teams. Requirements

  • High school diploma or equivalent required.
  • Completion of a medical assisting program or 2-4 years experience in a medical field.
  • General knowledge of computer software and practice management databases is essential.
  • Strong organization, time management and interpersonal skills.
  • Tact and diplomacy are necessary in dealing with physicians, patients and their families and other employees.
  • Ability to deal compassionately and professionally with patients is essential.
  • Ability to work independently and possess sound decision-making skills.
  • Knowledge of insurance regulations, specifically Medicare, BC/BS, managed care plans and workers compensation carriers regarding scheduling and approval of surgical procedures.
  • Ability to prioritize work demands.
  • Ability to consistently maintain confidentiality with regards to all job assignments and related information.
  • Access to medications is limited to the distribution of the medication to the nurse.

Nice To Haves

  • Proficiency in medical terminology preferred.
  • Knowledge of the Epic practice management programs preferred.

Responsibilities

  • Coordinate and schedule outpatient surgical procedures, pre-operative testing, and post-operative appointments
  • Guide patients through the surgical process, providing education, instructions, and exceptional customer service
  • Verify insurance coverage, obtain pre-certifications, and ensure all required documentation is completed accurately
  • Collaborate closely with surgeons, clinical teams, hospitals, and administrative departments to ensure smooth surgical coordination
  • Welcome and check in patients on the day of surgery while facilitating efficient patient flow
  • Serve as a compassionate point of contact for patients and families before, during, and after surgery
  • Maintain accurate patient records, insurance information, and surgical tracking data within EPIC and internal systems
  • Coordinate hospital admissions, reservations, and procedural requirements
  • Support department operations, physician education events, research initiatives, and special projects
  • Act as a trusted liaison between physicians, patients, families, and healthcare teams
