About The Position

The Surgery Scheduler is responsible for coordinating and scheduling gastrointestinal procedures, including colonoscopies, upper endoscopies (EGD), flexible sigmoidoscopies, capsule endoscopies, and other outpatient procedures. This position serves as the primary liaison between patients, physicians, ambulatory surgery centers, hospitals, anesthesia providers, and insurance companies to ensure timely scheduling, accurate documentation, and a positive patient experience.

Requirements

  • High School Diploma or equivalent
  • Able to pass a Background Check

Nice To Haves

  • Gastroenterology, surgical scheduling, or procedural scheduling experience preferred.
  • Experience obtaining insurance authorizations and referrals preferred.
  • Experience with EMR systems and medical practice management software.

Responsibilities

  • Schedule and coordinate gastrointestinal procedures at ambulatory surgery centers, hospitals, and endoscopy suites.
  • Schedule procedures according to physician availability, facility block time, and patient preferences.
  • Communicate procedure dates, times, locations, and preparation instructions to patients.
  • Review physician orders and ensure all required documentation is complete prior to scheduling.
  • Obtain and verify insurance benefits, referrals, authorizations, and pre-certifications as required.
  • Coordinate with anesthesia providers and facility staff regarding scheduling needs.
  • Review patient medical history, medications, and special requirements to identify scheduling considerations.
  • Ensure patients receive appropriate preparation instructions and educational materials.
  • Confirm scheduled procedures and perform appointment reminder calls.
  • Track cancellations, reschedules, and no-shows while working to maximize provider schedules.
  • Maintain accurate and up-to-date patient records within the electronic medical record (EMR) system.
  • Communicate effectively with physicians, nursing staff, and administrative personnel regarding scheduling changes.
  • Follow HIPAA regulations and maintain strict patient confidentiality.
  • Assist patients with questions regarding procedures, preparation requirements, insurance, and scheduling concerns.
  • Monitor procedure schedules to ensure efficient utilization of procedure rooms and provider time.
  • Resolve scheduling conflicts and issues promptly and professionally.
