Beacon has an excellent opportunity available within our clinic as a Surgery Scheduler/Prior Authorization - Urology. This individual will be responsible for scheduling urologic surgeries and procedures, obtaining and managing prior authorizations, coordinating with patients, providers, insurance companies, and ancillary departments to ensure timely, compliant, and efficient case flow.

Nice To Haves

  • High school diploma or equivalent.
  • 2+ years’ experience in medical scheduling, prior authorizations, or insurance verification; experience in urology, surgical practice, or hospital scheduling strongly preferred.
  • Proficiency with EMR systems (e.g., Epic, Cerner, Athena) and prior authorization platforms.
  • Strong knowledge of medical terminology, CPT/ICD-10 coding basics, and common payer policies for surgical authorizations.
  • Excellent verbal and written communication, customer service, and organizational skills.
  • Ability to multitask, prioritize, and work under time-sensitive conditions.
  • Attention to detail and ability to maintain patient confidentiality (HIPAA).

Responsibilities

  • Schedule urology surgeries, elective procedures, preoperative and postoperative appointments in the practice and/or hospital scheduling system.
  • Verify patient demographics, insurance coverage, and eligibility.
  • Initiate and complete prior authorization requests for surgical procedures, in-house procedures, tests, and implants; follow up until approval or denial resolution.
  • Collaborate with urologists, nursing, OR staff, Medical Reps, billing, and case management to confirm case readiness (labs, imaging, medical clearance).
  • Maintain accurate tracking logs in shared files, complete scheduling checklists, and other documentation as needed.
  • Educate patients on pre-op instructions, arrival times, fasting requirements, and necessary pre-op testing.
  • Ensure compliance with payer requirements, facility policies, and regulatory standards.
  • Coordinate last-minute schedule changes and urgent case authorizations when needed.
