About The Position

Center for Neurosciences (CNS) is seeking an organized, compassionate Surgery Scheduler / Medical Assistant to coordinate surgical care and support physicians with patient care. This dual role combines surgery scheduling, pre-operative coordination, clinical assistance, and administrative support. The ideal candidate communicates clearly, pays close attention to detail, and works well with patients, providers, hospitals, and coworkers.

Requirements

  • High school diploma or GED.
  • At least one year of recent medical assistant experience in a medical facility, or an equivalent combination of education, training, and experience approved by CNS.
  • Knowledge of medical office procedures, patient care practices, and patient confidentiality.
  • Strong communication, organization, and customer service skills.
  • Ability to prioritize tasks, manage changing demands, and work collaboratively.
  • Ability to recognize patient concerns requiring prompt attention and communicate them to the provider or supervisor.

Nice To Haves

  • Medical assistant certification from an accredited institution.
  • Current CPR certification or recertification in progress.

Responsibilities

  • Schedule surgeries, diagnostic testing, and required medical or cardiac clearances.
  • Coordinate with hospitals and surgical facilities to confirm schedules, specialized equipment, and supply needs.
  • Ensure pre-operative paperwork, consents, allergies, medication lists, and health histories are complete and documented.
  • Review provider-approved surgery instructions with patients and help them understand next steps.
  • Obtain prior authorizations for surgeries, tests, medications, and procedures.
  • Schedule post-operative appointments and testing.
  • Communicate scheduling changes promptly to patients, surgeons, and surgical facilities.
  • Prepare patients for examinations and assist physicians with exams and procedures.
  • Take and document vital signs and enter clinical information and provider orders into the electronic health record.
  • Collect specimens, assist patients with mobility, and administer injections as directed and within authorized duties.
  • Communicate test results and patient education as instructed by the provider.
  • Respond to patient calls, monitor voicemail, and complete electronic health record tasks promptly.
  • Obtain medication refill approvals and communicate with pharmacies.
  • Obtain medical records, laboratory and imaging reports, hospital notes, and referrals.
  • Process forms and faxes, verify insurance and patient demographics, and maintain accurate medical records.
  • Schedule office visits, confirm pre-visit requirements, and assist with patient discharge.
  • Perform other duties as assigned.
