About The Position

Virginia Oral & Facial Surgery is seeking a Surgery Coordinator to serve as the friendly, organized point of contact for our patients. You'll keep communication open and patients engaged from their very first call through the entire surgical journey — handling registration, insurance verification, pre-authorizations, and coordinating with surgeons and insurance providers to ensure a smooth, efficient experience. Requirements

  • A minimum of two years experience in an oral surgery practice; one year in implants preferred.
  • CPR certification required.
  • Strong and effective communication.
  • High degree of professionalism.
  • Positive attitude, change advocate, lead by example, coach-able.
  • Strong interpersonal and relationship building skills.
  • Exhibits good time management and project management skills
  • Excellent organization and follow up skills

Responsibilities

  • Responsible for same day surgery follow-up to ensure all necessary items have been obtained, to include pre-registration, dentist referral and x-rays, treatment plan/green sheet, submit pre-authorization when required, and insurance estimates when applicable to be completed in office
  • Responsible for weekly meetings with the surgeon to review any outstanding same day surgery items, such as treatment plans and medical consultation requests
  • Responsible for coordinating and initiating implant and hospital/VOFS OR patient scheduling, to include surgeries, consults and post-operative visits, to insure optimal flow and minimal wait times
  • Ensures that all implant related policies and procedures are maintained according to practice standards.
  • Maintains computer-based logs pertaining to implant/same day surgery patient records, care and follow up.
  • Responsible for implant charge entry, to include surgery, implant exposure, and post op.
  • Responsible for coordinating and maintaining all written correspondence with referring dentists/doctors.
  • Responsible for answering patient/dentist questions regarding specific treatment plans or generalized implant questions.
  • Responsible for coordinating and maintaining all correspondence with implant patients, in particular, the financial obligations of the patients.
  • Responsible for implant consultations and post-op appointments to answer any questions and address any concerns the patient may have, particularly financial.
  • Responsible for initiating, researching, and supplying insurance requirements for patient treatment plans, to include (as needed) a preauthorization process, Letters of Medical Necessity, dental and/or hospital records, direct communication with insurance representatives.
  • Confirm implant and hospital/VOFS OR surgery appointments and call in medications as needed.
  • Performs the duties of a Patient Service Representative as needed and required.
  • All other duties as assigned.
