About The Position

Vanguard Skin Specialists is a dermatology and plastic surgery practice serving communities in southern Colorado. Our mission is to make a positive impact on our patients, our community, and our world. This mission drives everything we do from opening offices in underserved areas to sponsoring humanitarian projects to volunteering locally and abroad. The Surgery Team Lead is responsible for overseeing the day-to-day operations of the Surgery team, ensuring that the team meets all goals related to efficiency and effectiveness while providing the highest level of customer service to each patient. This is a full-time position, typically requiring 40 to 45 hours per week, primarily based in the Briargate and HQ offices, with occasional travel to other offices as needed.

Requirements

  • Knowledge of MSOffice and ability to develop knowledge of practice management software.
  • Operate a computer and other office machinery, such as a telephone, calculator, printer, copier, scanner, or fax.
  • Be able to communicate accurately, effectively and frequently both written and verbal.
  • Can identify color on the computer and software used.
  • Type at least 50 wpm.
  • Must be able to sit, stand, and/or walk for up to 10 hours.
  • Must be able to sit and work at a desk for most of the day.
  • Able to commute to the Colorado Springs for required meetings and training.
  • Use of video conferencing to manage the remote team.
  • Pre-employment screening including background checks, drug screens, employment and education or licensure/certification verification, and/or governmental registry checks.

Responsibilities

  • Answer the Surgery and handle patient requests appropriately.
  • Accurately book appointments for multiple providers across multiple offices.
  • Effectively and efficiently communicate with patients, providers, and other staff to ensure patient questions and concerns are addressed in a timely manner.
  • Address patient questions and requests via phone, including but not relaying of pathology results, scheduling treatment, etc.
  • Understand patient needs and triage appointments so that patients are scheduled with the correct provider.
  • Verify insurance benefits for surgical treatment and communicate cost information to patients.
  • Prepare and send written and electronic patient communications.
  • Coordinate across teams to help address patient requests and concerns.
  • Optimize surgical providers’ schedules to make sure their time is efficiently devoted to patient care.
  • Communicate benign and malignant pathology results with compassion.
  • Ensure patients are scheduled for treatment within appropriate timeframes.
  • Provide patients with exceptional service, as measured by patient satisfaction surveys and reviews.
  • Run team and individual reports for the Surgery metrics dashboard.
  • Listen in on phone calls to provide coaching to team members.
  • Provide individual coaching to team members based on reports.
  • Help train, coach, and supervise team members, including developing and leading sessions for new staff orientation and subsequent weeks.
  • Provide team with resources, updated SOPs, and training materials.
  • Ensure sufficient team coverage to meet goals.
  • Develop and lead a high performing team that meets targets and is inspired to follow Vanguard’s mission.
  • Support Director of Operations in special projects and initiatives.
  • Help keep Vanguard focused and moving toward its mission.
