About The Position

Under the direction and supervision of the Office Manager, this role schedules all surgeries in a timely, accurate, and courteous manner. The position coordinates day-to-day operations for specific surgeon(s), communicates with patients to ensure their understanding of the surgical process and requirements, and obtains pre-authorization from insurance companies for all scheduled procedures. The role involves optimizing the surgical schedule by utilizing block scheduling, resolving conflicts, and working with co-workers to manage the surgical schedule. It also requires applying clinical knowledge of procedures to coordinate the surgical schedule and utilize block time appropriately, scheduling pre-admission visits or telephone interviews in the Meditech system, and referring patients for appropriate clearance appointments. The Surg Scheduler serves as a liaison to the hospital for scheduling needs and to doctor's offices for coordinating clearances. They monitor physicians' vacation schedules and alert management of potential opportunities to consolidate services during periods of low surgical volume. The role includes distributing the daily OR schedule, participating in monthly surgical scheduling meetings, and maintaining proficiency in Medical Receptionist duties to cover for vacations and absences.

Requirements

  • High School or equivalent education.
  • Medical terminology knowledge or course completion.
  • Knowledge and understanding of physician ordering practices, and basic scheduling database maintenance.
  • Demonstrated ability to handle confidential information with discretion.
  • Ability to deal with people in a professional and courteous manner.
  • Ability to meet deadlines, manage multiple priorities and enhance the spirit of teamwork through effective role modeling.
  • Excellent interpersonal, communication and organization skills.
  • Computer literacy

Nice To Haves

  • AAS degree in Medical Assistant/Secretarial Science or experience in business with emphasis on healthcare or related field.
  • Prior surgical services scheduling in an acute care setting.
  • Experience with Microsoft Office products and electronic scheduling system

Responsibilities

  • Schedules all surgical procedures for specific surgeon(s).
  • Ensures that all required clearance information is received and in patient’s medical record in a timely manner.
  • Optimizes the surgical schedule by utilizing block scheduling, resolving conflicts, and working with co-workers to manage surgical schedule.
