Job Summary: Provide supervision of the day to day operations of the Document Imaging and Record processing section of the HIM department. Supervise staff and address routine issues/problems surrounding the daily workflow of the department and that of any departments or physician offices. Assists manager with interviews of new applicants, performance evaluations, interpersonal relation issues and conflict resolution, scheduling, timecard completion, monitoring of QA for productivity reports. Overseeing the training / orientation of new employees and monitoring their progress and performance. Demonstrate respect, dignity, kindness and empathy in each encounter with all patients, families, visitors and other employees regardless of cultural background. Job Description: Supervision Supervise the day-to-day operations of Mt. Zion Records Processing and Record Storage unit. Collaborate with Record Center Team Lead(s) to ensure benchmark TAT. Provide resolution and/or input on human resource issues, i.e., reward, address associate concerns/complaints, performance evaluation, disciplinary actions, hiring, firing, promotions, demotions, and suspend etc. Prioritize, delegate tasks, and projects. Check daily assignments. Assist with timecard completion. Schedule appropriate coverage when necessary and follow-up on schedule adjustments. Policy & Procedures Monitors staff compliance for departmental personnel policies and procedures consistent with Medical Center policies. Utilize organizational and communication skills to ensure staff compliance with policies and procedures. Acts as mentor to all staff under his/her direction. Effectively manages difficult personnel matters and will assist Manager with preparation and issuance of disciplinary actions and performance improvement plans. Instruct associates on how to perform tasks and how to achieve the department goals. Equipment & Software Maintenance Able to effectively operate and troubleshoot Epic, MPF One Content, DCS and various procedures to ensure proper functioning. Effectively troubleshoot Record center equipment, including O’Neil and Crown lifts, as well as van maintenance. Data Audit & Maintenance Responsible for auditing and troubleshooting errors made in the MPF/Epic system with scanning. Completes IS tickets for departments and offices. Routinely checks queues in the Document Scanning system for batches not completed as well as error queues. Training Ensure training of staff including ancillary departments and physician offices regarding records processing and storage. Will monitor error WQ’s and provide training and education for staff where opportunity for improvement exists. Update forms and inventory list and provides resource information to staff. Budget Place orders for supplies and equipment. Reconcile receipts and expenses. Provide input on budget related matters. Performs other duties as assigned.
