About The Position

The Psychiatric Institute of Washington provides comprehensive behavioral healthcare for children, adolescents, adults, and senior adults suffering from mental health and addictive illnesses. PIW is a 130 bed, short-term, acute care hospital offering inpatient, partial and intensive outpatient hospitalization, as well as specialized treatment programs for chemical dependency. Website: www.pschinstitute.com The Role: TheMedical Records Specialist plays a critical role in safeguarding the accuracy, integrity, and confidentiality of healthcare records. This position requires a strong understanding of HIPAA compliance, medical terminology, and meticulous attention to detail, along with the ability to effectively manage multiple priorities in a fast‑paced environment. The HIM Specialist collaborates closely with a multidisciplinary healthcare team and demonstrates excellent interpersonal and communication skills. Key responsibilities include organizing, managing, analyzing, and securely releasing medical records to patients, courts, and healthcare providers, ensuring timely access to information while maintaining the highest standards of privacy and compliance

Requirements

  • High School Graduate/GED
  • Three or more years experience
  • Knowledge of HealthCare Regulations/HIPPA
  • Coding knowledge guidelines of DSM 5 Behavioral Health
  • Excellent written and oral communication skills

Responsibilities

  • Process and track Release of Information (ROI) requests, maintain consent forms, and ensure full compliance with HIPAA and other legal requirements.
  • Manage, organize, copy, scan, and analyze medical records to ensure accuracy, integrity, and timely fulfillment of medical record requests.
  • Review discharged accounts and medical charts for deficiencies, assign deficiencies to providers, and follow up to ensure timely resolution.
  • Log and monitor all legal, disability, and general medical record requests using departmental tracking tools (e.g., Excel spreadsheets) and provide status follow‑up as needed.
  • Deliver high‑quality customer service in alignment with the hospital’s Service Excellence standards, including answering departmental phone calls and performing other duties as assigned.
