About The Position

Under direct supervision, the purpose of this position is to perform duties associated with the day to day operations of the office. Work location is school-based. Employees in this classification function in a clerical capacity working with more complex databases, spreadsheets, FTE and student scheduling, and other office functions. Performs related work as directed.

Requirements

  • High school diploma or GED
  • Up to two (2) years minimum previous experience and/or training involving clerical or secretarial work, or any equivalent combination of related education, training and/or experience which provides the required knowledge, skills and abilities to perform the essential job functions.
  • Fluency in English and Spanish, with the ability to read/write/translate from/to both languages, preferred.
  • All candidates must be bilingual - Spanish required

Responsibilities

  • Responds to internal and external customers in a timely, accurate, courteous and empathetic manner representing OCPS in a positive light.
  • Creates and maintains data bases and spreadsheets to generate reports and statistics; may include FTE processing and student scheduling.
  • Assists with ensuring attendance reports are completed, tracking tardiness and absences, and providing appropriate alerts as needed.
  • Provides support with maintaining inventory of supplies though inventory counts and ordering of supplies.
  • Distributes personal protection equipment, ensuring adequate supplies for sanitizing and disinfecting areas.
  • Handles school uniforms by collecting fees, writing receipts, maintaining inventory, ordering stock, and updating associated spreadsheets.
  • Prepares documentation for incoming substitute teachers for auditing purposes as required.
  • Reviews schedules with substitutes; delivers keys and lesson plans.
  • Serves as the school receptionist, greeting and assisting all incoming callers, visitors, and vendors; helps provide the first layer of security, confirming the need to be on campus.
  • Answers multiple phone lines.
  • Screens, prioritizes and routes telephone calls providing customer support and answering routine questions or concerns regarding the school or work location operations.
  • Assists in training new staff members.
  • Calculates and compiles statistical information for month-end or year-end reports.
  • Gathers and organizes data as needed.
  • Maintains various student and staff personnel records.
  • Assists in securing meeting locations.
  • Attends meetings and takes notes on a regular basis; relays important/sensitive information as required.
  • Performs various routine office duties such as filing and faxing documents, as needed.
  • Provides support for other staff positions within the department as needed.
  • May assist with work orders, payroll issues, purchase order requests, and fixed assets as needed.
  • May assist with translation needs, both in verbal and written form, for staff, parents, and students.
  • Operates a computer to enter, retrieve, review, or modify data; utilizes word processing, database, and software programs.
  • Operates a variety of machinery, equipment, and tools associated with department activities, which may include a typewriter, postage machine, or fax.
  • Responsible for keeping up to date on current technology, as job appropriate, being used by OCPS.
  • With the support of the district, attends training to ensure skill level in various technologies is at the level required to perform in current position.
  • Responsible for timely and accurate information they maintain as part of their job responsibilities.
  • Performs related duties as directed.
