About The Position

This grant-funded position at Women, Infants and Children Program (WIC) is responsible for providing intermediate-level clerical and interpreting duties at WIC clinic sites throughout Chester County. Seeking a Bilingual applicant (English and Spanish) is preferred. The ability to communicate and work with a wide variety of culturally diverse participants with limited supervision is required. Ability to obtain and maintain confidential information is crucial. Reliable vehicle and valid driver’s license required. This position requires criminal background and child abuse clearances.

Requirements

High School Diploma or General Education Degree (GED).
Minimum of one year of general office experience.
Intermediate skills in using a personal computer and various software packages
Excellent verbal and written communication skills.
Strong typing skills (minimum of 50 wpm).
Ability to use office machines (fax, copier, calculator, etc.).
Strong interpersonal skills.
Strong grammar and spelling skills.
Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals.
Ability to work as part of a team.
Flexibility.
Ability to interface effectively with all levels of county management.
Reliable vehicle and valid driver’s license required.
Ability to obtain and maintain confidential information is crucial.

Nice To Haves

Responsibilities

Receptionist/customer service duties (answer phones, make outgoing calls, direct calls, greet visitors).
Typing and data entry (prepare and distribute lists, transcription, maintain statistical data, proofreading).
Take and transcribe meeting minutes.
Clerical duties (fax, copy, print, etc.).
Maintain databases, logs and spreadsheets.
Sort and distribute incoming mail.
Maintain and order supplies.
Filing and indexing (locate and pull files, re-file, update and maintain records).
Perform special projects as assigned (e.g., research, training, run errands, etc.).
Perform other duties, tasks and office functions, as required (e.g., attend meetings, facilitate meetings, etc.).
Conduct independent participant assessments, provide nutrition education, prescribe food packages, and take on advanced clinical, advanced administrative assignments, and program support responsibilities.
Contact pre-applications, referrals, and interested applicants to screen for eligibility and schedule enrollment appointments
Make reminder phone calls and send text messages to participants
Follow up with all no-show participants
Prepare, organize, and maintain clinic materials and supplies
Translate written materials as needed
Prepare reports using WIC system
Distribute and explain WIC benefits to new and existing participants
Completes routine data entry and documentation in PA WIC MIS (PENN).
Schedules appointments and maintains participation records.
Load EBT cards and troubleshoot EBT redemption issues
Determine eligibility (income, household size, ID, residency, benefits)
Performs Hemocue testing to assist nutritionists when needed.
Provide basic nutrition education
Provide Farmers Market Nutrition Program services
Translate verbally for nutritionists as needed
Provide and document basic information on WIC nutrition and health services
Conduct and document complete participant assessments
Perform and interpret anthropometric (ht, wt) and Hemocue results and document in WIC MIS
Conduct participant screenings using probing questions to assess health, nutrition, and socioeconomic status
Obtain and document medical and dietary histories
Develop individualized care plans for follow-up visits
Select and deliver targeted nutrition education based on participant needs.
Identify and document WIC nutrition risk codes
Deliver and document nutrition education, including breastfeeding promotion and support
Develop nutrition care plans for low-risk participants
Prescribe and tailor WIC food packages
Participate in meetings and continuing education
Consult/refer participants to NEC, CPA, Breastfeeding Coordinator when situations exceed scope
Follow up with participants as needed
Encourage compliance with referrals through follow-up
Document services and update records in PA WIC MIS
Prepare and review reports in PA WIC MIS
Ensure accurate documentation of clinical services and outcomes
Attend required meetings and trainings
Participate in outreach activities
Answer clinic phone calls and messages
Maintain clinic supplies
Promote and support breastfeeding
Schedule appointments
Assist with training new staff
Manage WIC inbox
Communicate with external providers (e.g., doctors’ offices) to verify participant information.
