About The Position

The Support Specialist is a full-time, hybrid position responsible for providing skilled support services to our operations group in client services. The successful candidate will manage client-supplied materials and review and summarize depositions and discovery documents with a focus on work predominantly with law firms and manufacturers. They will serve as professional representatives of the company through written and verbal communications. This is a full-time position targeting approximately 40 hours per week. Work will be done from both home and office.

Requirements

  • Associate’s degree, certificate, or equivalent coursework (legal studies or related work experience preferred).
  • Proven experience (minimum five (5) years) as a paralegal, legal secretary, or legal assistant in a law firm, legal department, or legal services firm.
  • Experience supporting civil litigation matters strongly preferred.
  • Experience working with manufacturers or product liability matters a plus.
  • Proficiency with PACER, Microsoft Office Products including Word, Excel, PowerPoint, Access, Outlook, Adobe Acrobat, etc., and with various legal related sites.
  • Strong written and verbal communication skills.
  • Excellent organizational, project, and time management skills with strong attention to detail.
  • High degree of professional ethics, integrity, and professionalism.

Responsibilities

  • Receive, organize, log, and maintain client-supplied legal materials including but not limited to pleadings, correspondence, exhibits, and electronic files.
  • Establish, maintain and accurately track document deadlines, follow up on outstanding materials, and provide status updates to supervising attorneys or project managers.
  • Ensure chain-of-custody integrity and confidentiality for all client materials.
  • Read, analyze, and prepare concise, accurate summaries of depositions, including witness testimony, exhibits referenced.
  • Identify any gaps, determine additional materials required, and coordinate with clients.
  • Review, analyze and prepare concise, accurate summaries of discovery materials including interrogatories, requests for production, requests for admission, and responses thereto.
  • Project a professional company image in all email, phone, video, and written communications.
  • Serve as a responsive and courteous point of contact for law firm clients and manufacturer representatives.
  • Draft professional correspondence, transmittal letters, and follow-up communications on behalf of the consulting team.
  • Exercise sound judgment regarding communication urgency, escalating time-sensitive matters promptly.
  • Track court case status and assist in organizing activities to support case load of more than 100 active cases.
  • Prepare files for transmission to clients and opposing counsel in preparation for expert witness depositions and trial appearances.
  • Coordinate scheduling of meetings, depositions, and deadlines using shared calendars and project tracking tools.
  • Maintain awareness of applicable legal and procedural rules relevant to client matters.
  • Communicate with the Legal Department regarding subpoenas received and related deadlines.
  • Assist with compiling responsive documents to subpoenas, including redactions, as needed.
