What You'll Do As a Scheduling Coordinator, you'll play a critical role in connecting children with therapy services by coordinating schedules, supporting therapists, and ensuring our operations run efficiently.

Requirements

High School Diploma or equivalent required
Proficiency with Microsoft Office or Google Workspace
Strong computer and data entry skills

Nice To Haves

Experience with scheduling, customer service, healthcare administration, or medical office operations preferred
Experience working with Electronic Medical Records (EMR) systems preferred
Knowledge of insurance authorizations, benefit verification, scheduling, or medical billing is a plus

Responsibilities

Build and maintain therapist and client schedules
Coordinate ongoing appointments, schedule changes, cancellations, and make-up sessions
Maximize therapist productivity while minimizing scheduling gaps
Monitor authorized therapy hours and ensure scheduling aligns with approved services
Maintain accurate client records within our Electronic Medical Record (EMR) system
Track therapist utilization and generate operational reports
Partner with clinical and operational leaders to balance staffing and caseloads
Assist families through the scheduling process with professionalism and compassion
Respond promptly to phone calls and emails
Help identify opportunities to improve workflows and processes
