About The Position

As a part of the Ambulatory clinic, the Support Coordinator provides smooth outpatient flow, resulting in optimum patient satisfaction and clinic operation. This role requires excellent interpersonal and communication skills to coordinate multiple appointments with many multi-specialty clinical services. The Support Coordinator participates in a variety of duties associated with the daily clinic preparation process, including customer service, message distribution, procedure scheduling, encounter registration, and referrals management. They assist with all aspects of patient care, answer patient phone calls, verify insurance benefits, prepare charts for clinic, and prepare charge tickets for clinic visits. The role also coordinates the organization and standardization of Spine Center forms, manages document flow in the office, and triages patient calls to licensed personnel when medical judgment or advice is warranted. Additionally, the Support Coordinator cross-covers the front reception, handles patient arrivals, collects and posts over-the-counter monies, and performs batch closures. They coordinate clinic schedules, patient appointments, and follow-ups, and obtain authorization and coordinate diagnostic testing for patients as ordered by the Spine Center provider. Comfort with computers and medical terminology is essential, and the ability to work with any physician in the Spine Center is required. Other duties as assigned.

Requirements

  • High School or equivalent
  • Ability to communicate effectively in English both verbally and in writing.
  • Must be comfortable with computers and medical terminology.
  • Must work with any and every physician in the Spine Center.

Nice To Haves

  • Degree in a related field
  • 1 year Experience in acute care or ambulatory care setting. Entry level accepted.
  • Knowledge of medical terminology preferred.
  • Familiarity with word processing, IDX, Cerner, PBAR and scheduling software is preferred.

Responsibilities

  • Answers telephones and greets patients.
  • Adheres to protect patient confidentiality.
  • Processes new referrals in a timely manner, including obtaining required outside medical records, entering demographic information into computer system and PBAR, providing medical records to physician/multidisciplinary team for review, providing insurance information to financial counselor, and scheduling patient in clinic.
  • Schedules patient’s evaluation in a timely manner while accommodating patient’s needs, including laboratories, diagnostic testing, and consultations.
  • Releases patient information to requesting parties following established confidentiality procedures and answers patient inquiries for laboratory results.
  • Understands the procedures for scheduling patients and gives proper patient instructions.
  • Notifies patient of upcoming appointments in a timely manner.
  • Arranges patient clinic appointments as requested by the physician.
  • Communicates all changes with patient and case information to all involved personnel.
  • Demonstrates accuracy and thoroughness in entering information into computer systems (Cerner, PBAR).
  • Works with various hospital personnel to resolve issues and accommodate patients.
  • Preps charts for clinic, selection committee, and tumor board (if applicable).
  • Assists in clinic with clerical and scheduling needs.
  • Assists in translation as needed (if applicable).
  • Batches and inputs patient information into the computer and retrieves patient demographic data.
  • Scans records into patient’s electronic chart (KeckCare).
  • Demonstrates flexibility in covering other staff members for sick time, vacation, or leave of absence.
  • Ability to work independently and in a team setting to accomplish duties in a timely manner.
  • Delivers and picks up mail as assigned.
  • Performs other duties as assigned.
