About The Position

Independently manages all functions of the hospital Medical Staff Office including maintenance of the Medical Staff Bylaws and Manuals, support of the Medical Staff officers in carrying out their duties, management of all credentialing functions, maintenance of the Medical Staff credentialing and privileging database and supervision and evaluation of the Credentials Coordinator and the Medical Staff Secretary. Plans and coordinates all Medical Staff meetings and activities and participates in preparation for and actual visits of all regulatory and accreditation organizations. Serves as a resource for department secretaries or others who are involved in or dependent on the credentialing and privileging process and database.

Requirements

  • Associates or Bachelors degree recommended. Education requirement may be waived for existing experienced incumbents.
  • Minimum five years experience in medical staff services or other health related administrative services with documented ability to independently carry out complex tasks.
  • Minimum two years experience supervising other staff and coordinating their activities.
  • Prior experience in medical staff credentialing preferred.
  • Prior experience working with medical staff or other Bylaws, Rules and Regulations and Policies and Procedures preferred.
  • Minimum two years experience working with computer software packages with proficiency, in Microsoft Office Suite and documented ability to learn new software packages in a reasonable timeframe (1-2 months).
  • Documented experience taking meeting minutes, working with a variety of business machines and planning meetings and social events for large groups.
  • Prior experience in preparing and participating in accreditation reviews preferred.
  • Knowledge of medical staff functions.
  • Knowledge of Medical Staff Office Policies and Procedures, TJC accreditation standards applicable to Medical Staff Office functions, including credentialing, Medical Staff Bylaws, Rules and Regulations and hospital Policies and Procedures preferred.
  • Knowledge of hospital or similar credentialing standards and Policies and Procedures preferred.
  • Knowledge of credentialing software program utilized by the Medical Staff Office personnel preferred.
  • Excellent oral and written communication skills required.
  • Ability to organize, coordinate and prioritize multiple tasks and meet multiple deadlines.
  • Ability to learn and maintain current knowledge base related to practices, standards and regulatory guidelines and mandates as related to the Medical Staff Office.
  • Able to independently investigate and analyze critical issues and develop workable solutions with the support of the Chief Medical Officer and Medical Staff Leadership.
  • Able to effectively manage challenging interpersonal interactions and resolve conflict.
  • Frequent contact with all levels of administration and healthcare personnel.

Responsibilities

  • Support the Medical Staff President and other officers in carrying out the duties of their offices including coordinating meetings, communications and secretarial support.
  • Orient new medical staff members.
  • Coordinate, plan and provide administrative support for all Medical Staff meetings.
  • Coordinate, in conjunction with the Medical Staff Treasurer, collection of dues and other assessments.
  • Maintains a thorough knowledge of all functions of the Medical Staff Office, specifically through the mechanism of the Bylaws, Rules and Regulations and the Policies and Procedures of the Medical and Affiliate Staffs.
  • Identifies, investigates and resolves problems related to members of the medical staff with the support of the Medical Staff President or Chief Medical Officer when necessary.
  • Maintains a thorough knowledge of current standards and requirements of regulatory and accrediting agencies such as TJC, AOA, NPDB, ODH, OMS and others, as related to Medical Staff Office functions and credentialing.
  • Actively participates in the preparation for the site visits of all regulatory and accrediting bodies.
  • Coordinates obtaining information related to Medical Staff Office functions and credentialing from all necessary departments.
  • Responsible for assuring compliance with all regulatory and accrediting agency requirements in the day-to-day operation of the Medical Staff Office.
  • Maintains current and past copies of the Medical Staff Bylaws and Rules and Regulations.
  • Periodically reviews the Bylaws to identify sections which are outdated or not currently being complied with and brings them to the attention of the Medical Staff President, Chair of the Bylaws Committee and the Chief Medical Officer.
  • Works with the Chair of the Bylaws Committee to prepare new language for review by the Bylaws Committee and to coordinate review of proposed changes by the Legal Department.
  • Coordinates review of proposed Bylaws changes, approved by the Bylaws Committee, by the Medical Executive Committee, the Medical Staff and the Board of Trustees.
  • Manages the credentialing and re-credentialing processes in compliance with all applicable regulatory and accreditation standards and with hospital Medical Staff Bylaws and Rules and Regulations.
  • Coordinates and oversees processing of credentialing and privileging requests through the Departments, Credential and Medical Executive Committees and the HM Board; and notifies appropriate departments and the physician upon completion of the process.
  • Maintains a thorough knowledge of current credentialing standards and reporting including use of NPDB queries.
  • Maintains a thorough knowledge of credentialing software and serves as a resource for all users.
  • Responsible for the maintenance of individual medical staff physician files.
  • Independently evaluates information received from internal and external sources related to credentialing and seeks clarification or additional information when appropriate.
