About The Position

This is a temporary-to-permanent position for a Janitorial Supervisor. The role involves supervising assigned janitorial staff, ensuring work meets contract requirements, managing budgets for manpower, equipment, and supplies, and participating in the company's quality and safety programs. The supervisor will be responsible for hiring, training, scheduling, and performance management of the janitorial team, as well as handling customer complaints and ensuring compliance with all company policies and procedures.

Requirements

  • High School diploma.
  • Prior experience with up-to-date general cleaning practices and procedures is required.
  • Knowledge of the contract statement of work is required.
  • Experience in producing work schedules based on workload is required.
  • Must be authorized for coverage under agency insurance if operating an agency vehicle, have a good driving record, a valid driver’s license in the state/territory of contract operation, and/or the required level of personal auto insurance.
  • Must be able to satisfactorily complete a background check, per company requirements.
  • Must be able to obtain DOD security clearance at the Secret level.
  • Ability to communicate with tact and maintain confidentiality.
  • Adequate ability to communicate in spoken conversation – adequate volume of speech.
  • Adequate ability in writing/reading/mathematics.
  • Ability to effectively build and maintain positive working relationships with management and peers.
  • Strong organizational, project planning, and management experience with proven analytical and multi-tasking skills.

  • 3 or more years’ experience in the management of janitorial employees is desired.
  • Experience in supervising personnel with disabilities who work under a collective bargaining agreement is desired.
  • Must have background knowledge in completing and maintaining company records used for payroll, supply requisitions, vehicle inspections, equipment inventory, disciplinary documents, training records, file systems, etc.

Responsibilities

  • Supervises assigned crew leaders, lead workers, janitorial custodians, and floor technicians, and ensures work performed meets or exceeds the requirements of the contract statement of work.
  • Ensures employees maintain requirements for behavior, production, and quality of work performed.
  • Complies with company budgets for manpower, equipment, and supplies by continuously monitoring programs to ensure proper application.
  • Participates in and supports the company's quality and safety program goals.
  • Provides momentum for quality improvement through job innovations and by refining and amending processes and procedures.
  • Employs a zone labor force of adequate size and capability to accomplish all work as scheduled, including immediate replacement of personnel on vacation, absent, or leaving employment for cause, or of their own accord.
  • Interviews and selects prospective candidates for possible employment.
  • Orients new employees, including explaining their duties, taking them on a familiarization tour, and assigning them worksheets for reference.
  • Indoctrinates employees in procedures for reporting and responding to fires, hazardous conditions, and items requiring immediate repair.
  • Ensures that personnel are trained to perform work in accordance with safe and up-to-date cleaning procedures and methods.
  • Makes work assignments for employees, and follows up to ensure work is being performed properly and is within the budgeted time for the area.
  • Performs zone workload balancing monthly to ensure work being performed is assigned in accordance with the expected production rate, and work assignments are as equally distributed as possible among assigned employees.
  • Produces and maintains company attendance records on assigned personnel and reviews results with the project management team monthly.
  • Completes documents used to manage payroll records every week and submits them to the Office Manager for proper handling and forwarding to the payroll section.
  • Maintains a company journal consisting of transcribed significant events and actions taken occurring within the assigned area of responsibility.
  • Arranges for access to buildings and areas for which janitorial work must be performed outside normal duty working hours.
  • Assures that employees lock restricted areas after cleaning, and return keys to the office for safekeeping.
  • Schedules periodic floor work with floor crew and building custodians to ensure compliance with the performance work statement (PWS) and that mandated quotas are being achieved.
  • Periodically inspects areas to ensure proper quality cleaning is being accomplished and that needed supplies are properly labeled and neatly stocked.
  • Maintains discipline in conjunction with improper conduct when necessary through the use of informal counseling, verbal warnings, and written warnings.
  • Writes performance appraisals and briefs employees supervised in accordance with company directives.
  • Reports all operational problems beyond your capability to remedy to project management.
  • Makes the first response to customer complaints and documents actions to include follow-up to ensure problems have been addressed to the customer’s satisfaction.
  • Participates as a safety observation supervisor and completes documents as required by “STOP”.
  • Reports all employee on-the-job accidents to the administrative office and project management promptly, and completes the incident report and first report of injury forms.
  • Ensures safe transportation is arranged or provided for those employees who may need to visit the Workers’ Compensation doctor.
  • Prevents abuse of equipment and facilities in cleaning operations by instructing employees in and promoting adherence to company rules and regulations.
  • Periodically inspects assigned equipment and reports broken, unsafe, or faulty equipment to the equipment mechanic.
  • Ensures proper safety, cleaning, and inspection of assigned vehicles, and that inspections are properly documented weekly.
  • Ensures cleaning discrepancies recorded by quality control personnel are cleared promptly.
  • Completes inventory of assigned equipment annually, or as directed by the Operations Manager or Project Manager.
  • Performs duties associated with customer satisfaction surveys for the assigned area of responsibility in accordance with the company quality control plan.
  • Schedules zone leave requests to ascertain appropriate manpower to accomplish required work.
  • Acts as the initial approval authority for assigned employee requests for leave.
  • Schedules, prepares an agenda, and conducts monthly zone meetings to disseminate pertinent company information to assigned employees.
  • Coordinates with assigned employees to ensure they complete paperwork and/or attend meetings according to company requirements.
