About The Position

The Substitute Specialist oversees substitute teacher applications and reactivations, ensuring they meet minimum eligibility requirements and follow the established hiring process. This role is responsible for the annual renewal of substitute teachers and maintaining accurate information in the substitute teacher management system (Absence Management). The position also involves managing and compiling reports, data, and statistics related to substitute teachers, providing quality Human Resources support to schools, substitute teachers, administrators, and applicants. The Substitute Specialist is expected to ensure the efficient operation of the substitute office and proactively recommend process improvements and solutions to issues.

Requirements

  • Considerable knowledge of school operations
  • Considerable knowledge of Microsoft Office, specifically Microsoft Word, Excel, Power Point; Google Apps
  • Excellent customer service and interpersonal skills
  • Ability to communicate clearly and concisely both in oral and written form using a variety of communication techniques and tools to ensure the appropriate flow of information, collaborative efforts, and feedback
  • Ability to present information in an easily understood format to large audiences
  • Ability to minimize errors with attention to detail
  • Ability to meet deadlines
  • Ability to exercise independent initiative to perform both original and recurring assignments, and exercise judgement in the absence of clear directives
  • Ability to establish and maintain effective working relationships, and build consensus with district and school administrators, teachers, support staff, central services stakeholders, and the public
  • Associate’s degree in human resources, business, or related field
  • Experience in human resources or related field
  • Understanding of recruitment/staffing processes
  • An equivalent combination of relevant education, training, and experience which provides the knowledge, skills, and abilities necessary to successfully meet the essential duties may be considered.

Responsibilities

  • Oversees substitute teacher applications, reactivations, and substitute orientation according to minimum eligibility requirements while following an established substitute teacher hiring process.
  • Communicates with applicants regarding incomplete applications and provides support.
  • Manages information in the substitute teacher management system by analyzing data, entering data, and creating/compiling various reports.
  • Ensures operations of the substitute office runs effectively and efficiently while taking the initiative to recommend changes to processes as well as solutions to issues that may arise, as necessary.
  • Completes the annual renewal process for substitute teachers.
  • Provides technical support for the substitute teacher management system (applicants and district staff).
  • Develops and delivers training to school Lead Secretaries and Bookkeepers.
  • Attends and participates in team meetings and events, as required.
  • Performs other related duties, as assigned.
