About The Position

The Subcontractor Compliance Coordinator is responsible for ensuring that all subcontractors meet critical compliance requirements by efficiently managing the collection, verification, and organization of start-up, certified payroll, and insurance documents. This role involves maintaining comprehensive databases, applying standardized file management practices, and utilizing payroll software to streamline compliance processes. The coordinator actively communicates with subcontractors to resolve discrepancies, secure necessary documentation, and foster strong working relationships, while continuously improving processes and upholding the company's core values in every aspect of their work.

Requirements

  • High school diploma or equivalent
  • Demonstrates precision in reviewing and organizing compliance documents, ensuring accuracy and adherence to all regulatory requirements.
  • Effectively conveys compliance requirements and resolves issues with subcontractors, internal teams, and external stakeholders through clear and concise communication.
  • Proactively identifies and addresses discrepancies or challenges, implementing effective solutions to ensure compliance and smooth project execution.
  • Efficiently manages multiple tasks and deadlines, prioritizing responsibilities to ensure timely submission and processing of documents.
  • Handles deadlines, interruptions, and high-pressure situations with poise, ensuring work remains accurate and on schedule.
  • Proficiency in software/computer programs: Microsoft Office Suite (Word, Excel, PowerPoint, etc.), Adobe, Certified payroll software programs, e.g., LCP Tracker, eMars, General office equipment

Nice To Haves

  • 1-2 years of experience in Prevailing Wage Laws and Certified Payroll reporting requirements for federally and state assisted public work projects preferred.

Responsibilities

  • Request and collect start-up compliance documents immediately upon receiving new subcontracts, ensuring all required paperwork is submitted promptly.
  • Verify the accuracy and completeness of certified payroll documents, ensuring full adherence to prevailing wage requirements.
  • Ensure that all insurance documents meet both project-specific needs and regulatory standards.
  • Collaborate with subcontractors to resolve discrepancies, obtain missing information, and secure necessary signatures.
  • Stay informed about industry best practices and any regulatory changes that may impact compliance.
  • Create and maintain organized, easily accessible files for each project, systematically categorizing documents by subcontractor and job.
  • Apply consistent naming conventions to all documents, ensuring standardization and ease of retrieval.
  • Utilize online payroll software programs (e.g., LCP, eMars) to review, save, and update relevant subcontractor documents in the appropriate job files.
  • Establish and maintain a comprehensive database to track certified payroll, insurance, and subcontractor compliance requirements for each project.
  • Proactively communicate with subcontractors to gather any missing information, signatures, or necessary documentation.
  • Ensure subcontractors are fully aware of and adhere to all compliance requirements.
  • Foster and maintain positive relationships with subcontractors to ensure smooth and effective communication and collaboration.
