About The Position

Under direct supervision, primarily provides general administrative support for a project, team, or work unit. Similar to an Office Clerk or Specialist. May also include some basic data entry and report generation. This position supports several time-sensitive, term-based academic processes (e.g., syllabus collection, textbook reporting, and TA/Grader assignments), as well as general administrative support for academic programs. The role fluctuates in workload throughout the academic calendar but averages out to 15–20 hours per week, with consistent maintenance tasks (email triage, document updates, meeting support) between peaks of higher workload.

Requirements

  • Enrolled in or on vacation from or is otherwise registered in Graduate Program (minimum 4.5 credit hours)
  • Basic proficiency with Microsoft Office Suite, including Excel and Outlook
  • Basic proficiency with Google Workspace, including Forms and Gmail
  • Ability to communicate clearly and professionally with diverse audiences, both in writing and in person
  • Commitment to the School of Public Health’s mission to create an equitable, antiracist institution
  • Strong attention to detail and organizational skills
  • Ability to perform the job duties with or without accommodation.

Nice To Haves

  • 1 year of work in an office setting, or a Bachelor’s Degree

Responsibilities

  • Collect, organize, and archive School of Public Health syllabi; respond to ad hoc requests for syllabi to support assessment, accreditation, and programmatic needs.
  • Collect and maintain textbook information for SPH courses to support compliance with Oregon HB 2871, OHSU Library reporting, and internal planning; report textbooks to OHSU library for procurement.
  • Maintain and update tracking spreadsheets, shared documents, and internal tools to ensure timely follow-up on academic and operational deadlines for TA/Graders, Syllabi collection, and Textbook collection processes.
  • Track undergraduate enrollment to determine eligibility for Grader assignments per PSU’s MOU; assist with TA/Grader assignment logistics and faculty communications.
  • Provide day-to-day administrative support to SPH Academic Operations Deans, including event support, document prep, and time-sensitive project tasks.
  • Support the MPH Health Promotion and MPH-MSW/MURP Dual Degree programs leadership with recurring administrative tasks (e.g., meeting notes, communications, light event logistics).
  • Provide administrative and logistical support for School-hosted meetings, info sessions, and student events.
