About The Position

Reporting to the Director, the Student Information Systems Coordinator is responsible for managing and maintaining any and all systems relating to enrollment, registration, student records, state reporting and transcripts. The Student Information Systems Coordinator will supervise, organize and manage the registration staff in filing, processing enrollment, receiving and sending out cumulative records, updating systems as necessary, completing state reporting in a timely manner and performing all functions necessary to maintain an efficient and organized office and student database system.

Requirements

  • Bachelor’s degree from an accredited college or university
  • Demonstrate proficiency in technology skills with the ability to learn and use online platforms, systems and software to support registration/enrollment and record keeping.

Responsibilities

  • Supervise, evaluate, organize, train and support registration staff.
  • Manage, organize and implement effective enrollment and student registration systems.
  • Create, generate, and change student class schedules, maintaining files and generating reports.
  • Maintain student files and records including up to date student transcripts. Ensure records are received and sent in a timely manner.
  • Prepare a variety of documents and reports including transfers, transcripts for college, grading, and correspondence, student data information, state required reports.
  • Remain updated on all laws affecting student information systems so we remain in compliance with the state.
  • Format and edit all email templates and responses to families.
  • Ensure legal documents are kept in an orderly and secure system.
  • Ensure written agreements are up to date, accurate and completed.
  • Make sure written agreement addendums are sent, signed, and verified.
  • Keep administration informed of student information systems concerns.
  • Assist counselors with the preparation of reports and student data information.
  • Work with all departments, including student support and EL, to ensure all record keeping is accurate.
  • Complete and submit all state required reports.
  • Create an effective and thorough enrollment process from initial contact with families until they are completely enrolled and assigned to a facilitator.
  • Provide data as needed to Directors and compliance teams within iLEAD as requested.
  • Collaborate with enrollment teammates, the leadership team, and Exploration directors to improve existing processes and develop new systems.
  • Attend meetings that pertain to schoolwide systems and enrollment.
  • Complete other duties as defined by the Director of the program or other school leaders.
