About The Position

The Student Assistant in the Honors College assists with routine office duties including answering phones, maintaining e-mail correspondence, coordinating with staff members, greeting visitors, organizing office materials and files, and assisting with events and programs, maintaining social media, and content creation.

Requirements

  • Must be enrolled as a degree seeking student at Florida Gulf Coast University at the time of hiring and throughout the appointment
  • Must be a current Honors College student in good standing with both the Honors College and the University
  • Must be eligible to receive Federal Work-Study funds
  • Must have experience operating a personal computer with Windows (preferred) and/or Mac OS
  • Must be proficient with Microsoft Office 365 (Word, Excel, Outlook, and PowerPoint)
  • Must have experience with Canva or other platforms suited for media content creation and editing
  • Ability to establish and maintain good rapport with university faculty, staff, students, and the public
  • Ability to accurately prepare and maintain records, files, and reports
  • Ability to exercise good judgment
  • Ability to multitask, work under pressure, and prioritize deadlines
  • Ability to meet deadlines for work assignments
  • Ability to maintain confidentiality of work-related information and materials
  • Ability to work in a fast-paced and high-volume environment
  • Ability to represent the university in a positive and professional manner
  • Apply effective techniques to create working relationships with others; successfully communicate and collaborate with others to achieve goals

Nice To Haves

  • Work experience in higher education settings with a strong understanding of organizational practices and culture
  • Previous work experience as an Office Assistant
  • Experience in office/business management and/or creating/editing media content

Responsibilities

  • Greeting visitors (students, faculty, staff, and community members) and provides accurate information about the Honors College
  • Provide answers to frequently asked questions about the Honors College and connects visitors (students, faculty, staff, and community members) with the appropriate departments
  • Answers phones and routes calls to the corresponding staff member(s)
  • Sorts and delivers mail/packages throughout the office
  • Accurately files paperwork, makes copies, scans, and compiles documents
  • Assists with preparation of mailings and event materials
  • Assists during events, including organization and coordination
  • Schedules and maintains staff appointment calendars
  • Compiles, organizes, and enters data in program databases
  • Featuring Honors College students, faculty, staff, alumni, events, and opportunities on social media, and other approved means of communication
  • Creating engaging content (media, visual, etc.) for social events and initiatives
  • Other job-related duties as assigned
