About The Position

Under general supervision, the Student and Academic Advisor will perform moderately complex student services work. Key responsibilities include, but are not limited to, providing information and guidance to prospective students regarding degree and professional programs, assisting prospective and current students with enrollment and admission processes and solutions, offering student retention services, and providing admission and academic advising. The advisor will attend recruitment fairs to promote all Professional and Continuing Education (PaCE) programs, and coordinate data input, reporting, and analysis related to these activities.

Requirements

  • Equivalent to graduation from a four-year college or university in one of the behavioral sciences, public or business administration or a job related field. Additional specialized experience during which the applicant has acquired and successfully applied the knowledge and abilities shown above may be substituted for the required education on a year for year basis.
  • Possession of these knowledge and abilities is typically demonstrated through the equivalent of two years of professional experience in one of the student services program areas or in a related field; experience should give evidence of competence and indicate the potential for further growth.
  • Working knowledge of the practices, procedures and activities of the program to which assigned, general knowledge of the methods and problems of organizational and program management.
  • General knowledge of the research and interview techniques; and of the principles of individual and group behavior.
  • Ability to interpret and apply program rules and regulations
  • Use initiative and resourcefulness in planning work assignments and in implementing long-range program improvements
  • Obtain factual and interpretative information through interviews

  • Collect, compile, analyze and evaluate data and make verbal or written presentations based on these data

  • Possession of a valid Driver's License is required.
  • The person holding this position is considered a `mandated reporter' under the California Child Abuse and Neglect Reporting Act and is required to comply with the requirements set forth in CSU Executive Order 1083 as a condition of employment.

Responsibilities

  • Acquire prospective student information using basic interviewing and active listening skills to support program recruitment.
  • Provide information and guidance to prospective students regarding degrees, certificates, and individual courses that align with their aptitudes, interests, and abilities.
  • Assist prospective and current students with enrollment and/or course or program completion issues by applying sound judgment and knowledge of applicable standards.
  • Evaluate student needs through basic interviewing and counseling techniques and provide guidance on available services.
  • Advocate for student needs within the area of expertise and identify or recommend solutions in collaboration with campus partners.
  • Maintain accurate student information and status within the department’s Customer Relationship Management (CRM) system.
  • Attend recruitment fairs and provide information sessions to promote PaCE programs.
  • Provide prospective students with information regarding the pre-admission process.
  • Guide prospective students through the admissions process, including tracking and obtaining missing documents and transcripts until applicants are fully admitted or denied.
  • Apply working knowledge of program practices, procedures, and activities to assist in developing and maintaining an information knowledge base.
  • Assist staff in providing accurate and comprehensive program information in response to prospective student inquiries.
  • Schedule and conduct one-on-one and group information sessions for current and prospective students.
  • Plan and attend “on-the-spot” admissions events for specialized groups, including community colleges and partnership programs.
  • Collect, compile, analyze, and evaluate data.
  • Prepare timely reports regarding recruitment, applications, enrollment, and other requested information.
  • Create individualized Student Program Plans for all matriculated students enrolled in undergraduate online programs.
  • Anticipate potential issues that could delay degree completion and provide readily available alternative solutions.
  • Recommend solutions to individual student issues, including situations for which established precedents may not exist.
  • Independently provide comprehensive academic advisement to students regarding choosing, pursuing, and adjusting to appropriate educational goals.
  • Provide factual information regarding occupational and educational requirements.
  • Utilize critical thinking and problem-solving skills to determine when Graduation Checks (Grad Checks) should be requested or updated.
  • Monitor graduation requirements and timelines to help ensure students remain on track for degree completion.
  • Maintain effective working relationships with students through regular communication and follow-up.
  • Follow up with students at program-specific intervals to assess their progress and continued engagement.
  • Run reports to monitor student engagement within degree and certificate programs.
  • Perform other classification-related duties as assigned.
