About The Position

The Administrative Aide 1 will primarily manage the department’s social media accounts, creating and scheduling engaging, timely, and professional content to promote departmental programs, share updates, and strengthen communication with faculty and other relevant audiences. The Administrative Aide 1 will also support departmental programming, particularly professional-development workshops for faculty, by assisting with event setup and cleanup. Additional responsibilities include maintaining a welcoming, organized, and well-stocked departmental suite that serves as a faculty lounge, as well as conducting regular supply inventories to assist with ordering and purchasing decisions. The position requires strong communication, organization, creativity, attention to detail, reliability, and the ability to manage responsibilities independently.

Requirements

  • Active enrollment as a student at Tulane University
  • A Federal Work Study Award
  • Strong written and verbal communication skills, with the ability to communicate professionally with faculty, staff, students, and campus partners.
  • Demonstrated interest in social-media communications, digital marketing, content creation, or campus programming.
  • Experience creating visually engaging social-media content using Canva or a similar design platform.
  • Familiarity with Instagram and LinkedIn, including differences in audience, tone, content formats, and professional communication standards.
  • Experience using—or willingness to learn—Later Social for scheduling and publishing social-media content.
  • Experience using—or willingness to learn—Airtable, Google Sheets, or similar tools to track projects, content status, inventory, and performance data.
  • Strong organizational skills and attention to detail, including the ability to manage a content calendar, meet deadlines, and keep accurate records.
  • Ability to work independently, take initiative, and manage recurring responsibilities while communicating progress and questions to supervisors.
  • Reliable, professional, and able to maintain a welcoming, organized environment in a shared faculty lounge and departmental suite.
  • Ability to assist with light event setup, cleanup, supply organization, and inventory tasks.
  • Availability to work flexible hours as needed to support departmental programming and social-media posting schedules.

Responsibilities

  • Manage the department’s social media presence as the primary responsibility of the position.
  • Create engaging and professional social-media content using Canva, including posts that promote departmental programs, professional-development workshops, faculty resources, and departmental updates.
  • Schedule and publish content to the department’s LinkedIn and Instagram accounts using Later Social.
  • Use Airtable to maintain the social-media content calendar, track post-development and approval status, and document post performance and engagement metrics.
  • Support faculty professional-development workshops and other departmental programming by assisting with event setup, preparation, and cleanup.
  • Maintain a welcoming, organized, and well-stocked departmental suite that serves as a faculty lounge.
  • Conduct regular inventories of departmental and lounge supplies and assist staff with identifying items that need to be ordered or replenished.
  • Complete assigned administrative and operational tasks with strong attention to detail, reliability, professionalism, and effective communication.
