About The Position

Hendrix College is seeking a full-time, 12-month Student Accounts Manager. Reporting to the Associate Vice President for Business and Finance & Controller, the Student Accounts Manager is responsible for the management and administration of all student account functions, ensuring accurate billing, timely collections, and excellent customer service to students and families. This position oversees the daily operations of the Student Accounts Office, manages student account records in compliance with institutional policies and applicable regulations, and serves as the primary liaison between students, families, and the Office of Business and Finance.

Requirements

  • Bachelor's degree in accounting, finance, business administration, or a related field required.
  • Minimum of three years' experience in student accounts, accounts receivable, or related financial operations, preferably in higher education.
  • Strong knowledge of billing, collections, and payment processing practices.
  • Excellent organizational skills and attention to detail.
  • Strong customer service and interpersonal skills, with the ability to handle sensitive and confidential information.
  • Proficiency in Microsoft Office Suite and familiarity with student information systems (experience with Jenzebar preferred).
  • Ability to work independently, manage multiple priorities, and meet deadlines.

Responsibilities

  • Prepare and distribute accurate and timely student tuition, fees, housing, meal plan, and miscellaneous charges.
  • Maintain up-to-date student account records, applying payments, adjustments, and credits in accordance with institutional policies.
  • Monitor accounts receivable aging reports and proactively follow up on outstanding balances.
  • Administer payment plans and ensure compliance with payment schedules.
  • Coordinate student account holds for registration, transcripts, and graduation clearance.
  • Serve as the primary contact for students, families, and campus stakeholders regarding student account questions and payment options.
  • Provide clear, professional, and timely communication in person, by phone, and via email.
  • Educate students and families on billing procedures, payment deadlines, and financial policies.
  • Collaborate with the Financial Aid Office to ensure accurate posting of awards, loans, and adjustments to student accounts.
  • Manage past-due accounts, initiate collection processes, and work with third-party collection agencies when necessary.
  • Ensure compliance with FERPA, federal/state regulations, and institutional financial policies.
  • Reconcile student account balances with the general ledger on a monthly basis.
  • Coordinate with the Controller on year-end closing procedures related to student accounts.
  • Oversee the use of the College's student information system (SIS) for billing and account management functions.
  • Identify and implement process improvements to enhance efficiency and accuracy.
  • Develop and maintain procedure manuals and train staff/student workers as needed.
