About The Position

The Stewardship Coordinator provides operational, administrative, and data management support to the Development team to ensure excellent investor stewardship, accurate data management, efficient fundraising operations, and timely execution of fundraising activities. This position serves as a key partner to Development Representatives by managing donor and account-related requests, supporting proposal development, maintaining data integrity, coordinating fulfillment activities, managing reporting processes, and documenting operational procedures. The Stewardship Coordinator also contributes to training efforts, quality control initiatives, and continuous improvement of Development operations.

  • Requires a Bachelor’s Degree with a focus on Communications, Business Administration, or equivalent relevant experience
  • Requires 3-5 years of experience supporting sales, business development, fundraising, or administration
  • Advanced user of Microsoft Office: Word, Excel, Outlook
  • Strong written communication skills
  • Demonstrated experience performing research independently and able to communicate findings verbally or in written format
  • Experience working with donor databases and CRM platforms, preferably Salesforce
  • Understanding of fundraising operations, donor stewardship, and relationship management desired
  • Exceptional organizational skills with the ability to manage multiple priorities simultaneously
  • Demonstrated analytical and problem-solving abilities
  • Strong attention to detail and commitment to data accuracy

  • Experience creating process documentation, training materials, and operational resources is a bonus

Responsibilities

  • Manage Account and Donation Management Cases within Salesforce and other organizational systems.
  • Research and resolve donor account discrepancies and data-related issues, and support organizational data quality initiatives through regular audits and cleanup projects.
  • Partner with Development Representatives and internal stakeholders to ensure donor records accurately reflect current investor relationships and engagement activities.
  • Conduct investor research and data gathering to support fundraising efforts and relationship management.
  • Maintain accurate and complete donor, organization, and relationship records.
  • Support Development Representatives in maintaining accurate fundraising forecasts, monitoring updates, and identifying missing or outdated information.
  • Manage collateral inventory and fulfillment requests for Development Representatives.
  • Assist with annual reports, donor mailings, thank-you packets, and special stewardship initiatives.
  • Build and maintain investor profiles through research and data collection.
  • Assist Development Representatives in preparing for donor meetings and engagement opportunities through research and briefing materials.
  • Maintain regular monthly connection meetings with assigned Development Representatives to review operational needs, priorities, and outstanding requests.
  • Serve as a primary operational support resource for assigned fundraising team members.
  • Coordinate follow-up activities and provide status updates on requests and projects.
  • Identify opportunities to improve processes and enhance representative support.
  • Partner with Development Representatives to support proposal development and submission processes.
  • Monitor proposal timelines and assist with follow-up activities.
  • Assist with recurring fundraising, stewardship, and operational reports.
  • Perform quality assurance reviews to ensure data accuracy on reports, mailings, and donor communications.
  • Collaborate with Development, Investor Operations, Finance, Project Management, and other internal teams to support fundraising activities.
  • Participate in process improvement initiatives and special projects.
  • Attend and participate in a variety of meetings and task force groups as directed and maintain the required level of knowledge pertaining to operating procedures, requirements, processes, and policies.
  • Lead and/or participate in projects or task force groups that focus on issues having organization-wide impact.
  • Perform or assist with any assignments as required or directed.
