About The Position

The Compliance and Licensing Coordinator is responsible for managing and maintaining all state licensing and regulatory requirements to ensure the organization remains fully compliant across all jurisdictions. This role oversees monthly, quarterly, and annual license renewals and reporting, including payments, through multiple platforms and sites. The Coordinator serves as the primary point of contact for CSC to support timely completion of Secretary of State (SOS) filings, ensuring all required information is provided and properly documented. This role requires exceptional organizational skills and meticulous recordkeeping. The Coordinator maintains a comprehensive document management structure within shared files, ensuring each state has a dedicated folder with all relevant licenses, regulatory filings, correspondence, and supporting documentation. Updated licenses are managed and distributed appropriately. This role supports the company’s ongoing compliance by ensuring accuracy, timely submissions, and reliable documentation across all licensing and regulatory activities, contributing to a strong compliance culture and reducing exposure to regulatory risk.

Requirements

  • Bachelor’s Degree in Finance/business-related field, OR 1-3 years of experience in compliance, licensing, or administrative coordination (insurance or financial services experience is a plus).
  • Familiarity with Secretary of State filings a plus
  • Strong attention to detail, email organization skills, and the ability to track multiple deadlines.
  • Ability to handle sensitive information and maintain accurate records.
  • Experience with Office365 applications (SharePoint, OneNote, Drive, Box, Teams)

Responsibilities

  • Prepare, and after Company review and approval, file all reports, filings, fees, and other information required to maintain state registrations, licenses, and good standing (“Filings”).
  • Ensure that all Filings are accurate and complete, by referencing Company records, confirming applicable information with Company management, or otherwise.
  • Ensure that all Filings due during the Term are filed in a timely manner prior to their respective deadlines.
  • Responsible for the timely and accurate processing of all communications with representatives of state agencies regarding or in connection with Filings.
  • Recognize critical issues and escalate properly.
  • Assist with additional accounting or compliance-related tasks, including audit preparation, unclaimed funds processes, and other needs that may arise.
  • Special projects.
