About The Position

This role involves managing nursing staff schedules, ensuring adequate coverage, preparing daily staffing reports, monitoring employee attendance, and collaborating with the admissions team. Additionally, you will be responsible for organizing and directing the medical records department, maintaining active and discharged records, ensuring compliance with filing systems, and collecting/reviewing resident charts. You will also assist the MDS Coordinator with scheduling assessments, review records for accurate coding, respond to medical record requests, and implement innovative systems to improve record-keeping efficiency.

Requirements

  • High school diploma or equivalent required
  • 1+ year of experience in healthcare staffing coordination preferred.
  • Prior experience in a healthcare setting (long-term care or medical facility preferred).
  • Strong organizational and problem-solving skills.
  • Ability to multitask and work under pressure in a fast-paced environment.
  • Proficiency in scheduling software and Microsoft Office Suite.
  • A dedicated, compassionate mindset that prioritizes quality resident care.

Nice To Haves

  • Associate's Degree preferred.
  • CNA license preferred.

Responsibilities

  • Create and maintain daily, weekly, and monthly staffing schedules for nurses and CNAs.
  • Work closely with the Director of Nursing to secure coverage for vacant shifts, open positions, vacations, and leave requests.
  • Complete daily staffing sheets and track nursing hours to meet PPD (Per Patient Day) requirements while maintaining compliance logs.
  • Review and correct time clock punches, verify hours worked, and identify staffing trends.
  • Stay updated on census changes, new admissions, and discharges to adjust staffing accordingly.
  • Prepare and submit daily nursing hours reports to the Executive Director/LNHA.
  • Implement new staffing strategies and processes to improve patient care and employee satisfaction.
  • Organize, plan, and direct the medical records department according to established policies.
  • Maintain active and discharged medical records using an established system.
  • Ensure compliance with recognized filing systems for efficient and secure record-keeping.
  • Accurately file nurses' notes, assessments, progress notes, lab reports, x-ray results, and other correspondence.
  • Collect, assemble, review, and file resident charts as required.
  • Assist the MDS Coordinator in scheduling resident assessments in line with facility and OBRA guidelines.
  • Review all records to ensure ICD-9-CM and ICD-10CM/DRG coding is accurate and complete.
  • Respond to medical record requests, ensuring compliance with federal and state laws.
  • Implement innovative systems and processes to improve record-keeping efficiency.
